Job Description:
We are looking for a friendly, professional person who loves interacting with the public, has outstanding communication skills, and naturally excels at customer service.
You are kind, enthusiastic, warm, and find it easy to connect with people. Our greatest measure of success is client retention, and you understand that nurturing the relationships we have with our clients is paramount.
Succeeding at the role involves:
· Polished verbal and written communication skills as you are a first point of contact for clients.
· Love for administrative organization and attention to detail.
· Commitment to following systems for tracking communications and ensuring follow-through.
· Flexibility and team spirit – you know how to work well with others on our small team and are happy to pitch in in whatever way is needed from moment to moment.
· Comfort and experience with computers, google docs, and various computer applications is a must (e.g Quickbooks, Unified Practice, Monday – prior experience is a plus; capacity to learn and problem-solve is essential).
Daily responsibilities involve:
Greeting patients and escorting them to their treatment room
Working closely with the Clinic Manager to support practitioner and patients throughout the clinic shift (including removing acupuncture needles)
Answering phone & fielding client queries and requests
Accepting payment via Quickbooks
Scheduling patients via Unified Practice
Responding via email to customers and team
Patient support, relaying of messages via Monday, and sending treatment plans
Accurate maintenance of spreadsheets for tracking communications, queries, and other vital information
Fielding walk-ins
Various office tasks, e.g. scanning, filing, organizing retail products, etc.
Light cleaning duties
Note: There is the possibility for expanded hours and roles if interested in also learning herbal pharmacy production. Please let us know if you are interested.
Start Date: ASAP
Schedule & Hours: Approximately 13 total to start
Tuesdays 10:30 - 2:30/3
Wednesdays 12:30 - 5:30
Thursdays 11:00 - 3:00
Please note: End times are approximate; slight flexibility with shift end-time is helpful depending on the days’ schedule. Minimum of 10-15 hours / week with possibility of future expansion.
