Assistant Bookkeeper / Office Administrator

Assistant Bookkeeper / Administrative assistant – PART TIME - Amityville NY

We are a wholesale produce company based in Amityville Long Island; we are a supplier to local restaurants, delis etc. We have a small office with 4 employees and are growing. We are seeking additional help to complement our staff.

Bookkeeping Duties

. Back up invoice with delivery ticket

. Input invoice in QB online

· Maintaining accounts receivable files and records

· Investigating payment discrepancies

· Follow established procedures for processing receipts, cash, etc.

· Process credit card payments, memos, adjustments and applications

· Prepare bank deposits

· Contact customers for payment on past due accounts

· New customer set up and account maintenance

· Ensure efficient, timely and accurate payment of accounts under his or her control

Administrative Responsibilities:

· Answers phone calls & support visitors.

· Maintain contact lists.

· Receive, sort, and distribute the mail

· Data entry and order entry.

· Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

Skills and Qualifications

An ability to work independently

The ability to communicate articulately and efficiently with other people within the company

Detail-oriented, strong organizational skills

Computer proficiency in Windows, Word, Excel, and QB’s online
