Concern Housing is seeking a Collections Specialist who will play a critical role in supporting the financial health of a nonprofit housing agency managing 1,600 residential units. This position ensures timely rent collection and works to resolve outstanding balances while maintaining a compassionate and professional approach aligned with the organization's mission to provide safe, affordable housing.
Position: Collection Specialist
Location: Ronkonkoma, NY
Schedule: Monday - Friday; 9am - 5pm
Salary: $50,000/yr.
Responsibilities Include but are not limited to:
- Rent Collection & Account Management:
- Monitor tenant accounts to ensure rent payments are received in a timely manner.
- Generate and distribute monthly rent invoices and notices.
- Follow up on delinquent accounts and communicate with tenants to resolve past-due balances.
- Tenant Communication:
- Conduct outreach to tenants via phone, email, and written correspondence to address payment issues.
- Provide clear explanations of account statuses, balances, and repayment options.
- Offer support in accessing financial resources or rental assistance programs, when applicable.
- Compliance & Reporting:
-Ensure collections activities comply with federal, state, and local housing laws and regulations.
- Maintain accurate and up-to-date records of all tenant communications and account activities in the property
management system.
- Prepare monthly and quarterly reports on collections performance and delinquency rates for management.
- Collaboration with Internal Teams:
- Work closely with property managers and finance staff to address tenant concerns and coordinate eviction prevention
efforts.
- Partner with social services staff to connect tenants with supportive resources.
- Conflict Resolution & Problem-Solving:
- Act as a mediator between tenants and the agency to resolve disputes related to rent and payments.
- Negotiate payment plans for tenants facing financial hardship, ensuring sustainable solutions for both parties.
- Legal Process Support:
- Assist in preparing documentation for legal proceedings related to evictions or collections.
- Represent the agency in tenant hearings or court proceedings, if required.
Requirements: High school diploma or equivalent required; associate’s or bachelor’s degree in finance, business administration, or a related field preferred. Minimum of 2–3 years of experience in collections, property management, or a related field. Proficient in Property management software (ex; Yardi, AppFolio), Microsoft Office Suite and working in affordable housing or with nonprofit organizations is a plus. Excellent communication and negotiation skills and strong organizational skills and attention to detail. Must be able to handle sensitive and confidential information with discretion. Familiarity with fair housing laws and tenant rights a plus.
