Applications are invited for consideration for appointment to the following position:Department: Human Resources, Diversity & InclusionBudget Title: Personnel AssistantLocal Title: Adjunct Faculty Employment CoordinatorPosting Date: October 3, 2024Classification: MP-VDuties: The office of Human Resources, Diversity & Inclusion at the State University of New York (SUNY) at New Paltz welcomes applications for an Adjunct Faculty Employment Coordinator. Under the general supervision of the Director of Employee & Labor Relations, this position’s professional obligation is to manage the administrative process for all duties related to the contracting, tracking, and implementing all bargaining unit provisions for all adjunct , and part-time and temporary faculty appointments (adjunct lecturers, adjunct instructors, and temporary full-time lecturers).The successful candidate will respond to questions and provide guidance to employees, supervisors and senior leaders regarding policies and practices impacting this segment of the employee population. This position will need to become familiar with and apply the UUP Bargaining Unit Agreement, SUNY Board of Trustees Policies, Office of the State Comptroller requirements, as well as SUNY University-wide policies and internal procedures that govern all employment terms such as staffing, appointment, salary, and eligibility for benefits and accruals.This position will be expected to be adept with running reports, analyzing and preparing data needed to respond to informal and formal request and to use data to review and assess the effectiveness of internal processes and procedures and to make appropriate recommendations for process improvements. Duties of the role include but are not limited to: Maintain data for this population of employees including tracking course assignments, other academic assignments, in order to determine eligibility for benefits, and appropriate accruals. Work with departments to appropriately classify appointments as well as track changes to employment type, (“temp” vs. “term”, and eligibility for one-year appointments). Prepare appointment letters for all employees in this population according to the UUP Bargaining Unit provisions and prepare revised contracts as assignments are changed or removed. Manage, and track compensation changes including per credit rates, fee, and hourly payments as well as negotiated increases necessary. Manage the process for timely contractual non-renewal notices by consulting with Academic Affairs and individual departments regarding hiring/staffing needs. In accordance with internal procedures track and enter employment data including creation of new lines, reclassification of existing lines, and process changes to positions and hierarchy as required in HRIS system. Provide analysis and recommendations regarding labor management agenda items as they relate to this employee population. During off-contracting times, assist employment personnel with entering transactions as time allows.Qualifications: Required: Associate’s degree or have completed at least 60 College credits AND a minimum of three years’ experience in an administrative role in particular managing an administrative process. Five years of direct experience may be considered in lieu of a degree. Excellent verbal & written communication/analytical skills, ability to reconcile data for discrepancies and ensure timely correction General understanding of employment practices and application of HR policies and procedures Demonstrated advanced proficiency in Microsoft Word & Excel Ability to effectively navigate report writing and exporting of data within available systems Detail oriented with excellent organizational skills and timely follow-up as required Ability to effectively manage multiple and competing deadlines Ability to effectively communicate with different constituents and partner offices within the University and respond to questions timely with courtesy and professionalism.Preferred: Bachelor’s degree in related field Experience in higher education Experience with HRIS Systems and/or relational databasesContact Information: Electronic submissions required.
