The Catering / Event Coordinator organizes all of the administrative functions pertaining to promoting, planning and executing member-related activities, social and business meetings, weddings, and private banquets. When necessary, the work schedule may include nights and weekends based on scheduled events.
The Catering/Event Coordinator is primarily responsible for managing a wide range of support duties related to the daily operations, sales and marketing of MVC. They should be professional, self-motivated, and positive. The role reports to the Catering/Events Manager.
ESSENTIAL FUNCTIONS
Assist with planning, organizing, and executing events, including pack outs for off premise catering
Assist the sales and event execution process for proposals, developments and external sales communication
Assist in the implementation of CATEREZE AND PIPEDRIVE (crm) and continue to monitor client, vendor and menu data
Create and update event records using CATEREZE AND PIPEDRIVE (crm) on a daily, weekly and monthly basis
Monitor vendor contracts, invoices and payments for all contracted vendor fees
Work with the catering team and property management to monitor and update insurance documents for new and existing events, event spaces and vendors
Stay up to date with industry trends and help the team to implement innovative event designs and menu concepts
Assist in the development of new sales programs and initiatives
Provide excellent customer service
Additional responsibilities:
Communicating with customers, employees, and others to answer questions; disseminatig or explaining information;
Processing and receiving food orders on time.
Liaising with vendors and external suppliers.
Formatting of menus, BEO's for events, and signage
Maintaining communication with Culinary Team regarding orders/changes or any issues in a timely manner.
Preparing and editing, catering proposals, and menus, in collaboration with Catering Manager.
Maintains and updates inventory.
Collaborating with Community Manager on delivery arrangements
QUALIFICATIONS
1 year or more of related experience preferable in NYC based events/catering
Bachelor’s degree or equivalent combination of education and related experience and/or training
Computer proficient in Microsoft Word, Excel, and PowerPoint required
Strong organizational, writing and communication skills
Ability to work well with others, comfortable taking initiative and detail oriented
Desire to be an industry leader
Excellent customer service skills, display a genuine desire to help people
Professional image and demeanor
Excellent communication and organizational skills and highly responsive
Capable of strategically leading client-facing conversations
Works well both independently and in a team environment
Ability to work independently on assigned tasks as well as to accept direction on given assignments.
