Design Firm Administrative / Personal Assistant (Chelsea)

Fast-paced, rapidly growing Interior Design firm in Chelsea seeking a detail-oriented, self-starter to help me keep the business running while I am working with clients. Time will be split between office and job sites. Impeccable written and verbal skills to communicate with clients, vendors, contractors and building managers. Need to be professional, persuasive, and charming. Above all else, need to be a fast learner who is all over the details and loves to solve problems. Our work ranges from high end residential to tech startup offices. Work environment is fun and casual. Flexible work hours, as long as you are highly available. Start at 20-30 hours per week, with ability to grow quickly. Pay commensurate with level of experience.

Responsibilities include:

- Schedule meetings and manage calendar

- Bookkeeping: track time and expenses, create project budgets, generate client invoices, manage accounts payable and receivable

- Place, track and expedite trade orders

- Coordinate delivery logistics

- Assist with creation of marketing materials (social media, press pieces, prep for photo shoots)

- Screen calls and inbound emails

- Be available to pitch in wherever required on client installs

- Occasional assistance with personal errands (pick-ups/deliveries)

Requirements:

- Highly organized, detail-oriented multi-tasker, ability to prioritize on the fly

- Professional written and verbal communicator

- Creative problem solver; ability to think multiple steps ahead

- Willingness to roll up sleeves and get hands dirty to deliver for a client

- Proficient in Microsoft Word, Excel, Google Docs, QuickBooks or other accounting software

- Trustworthy and honest, always respects and protects client privacy and confidentiality

- Able to be equally effective, from the office, at home, or on the go

- Experience working in a creative environment not required, but strongly preferred
