Job Description: As a Construction Administrative Assistant at American Services Home, you will play a vital role in providing administrative support to our construction management team and ensuring the smooth operation of our construction projects. You will assist with various administrative tasks, document management, and project coordination. Your attention to detail, organizational skills, and ability to thrive in a fast-paced environment will contribute to the success of our construction projects.

Qualifications:

High school diploma or equivalent; additional education or certification in construction management or administration is a plus.

Previous experience in an administrative role, preferably in the construction industry.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Excellent communication skills, both written and verbal.

Detail-oriented with a focus on accuracy in document management and record-keeping.

Ability to work independently with minimal supervision and as part of a collaborative team.

Knowledge of construction terminology, processes, and documentation is preferred but not required.

Valid Driver’s License.

Responsibilities:

Assist with the preparation and distribution of project documentation, including contracts, change orders, RFIs (Requests for Information), and submittals.

Maintain accurate and up-to-date project files, records, and documentation both electronically and physically.

Coordinate meetings, appointments, and site visits for project managers and construction team members.

Assist in the creation and distribution of project schedules, progress reports, and meeting agendas.

Manage communication between project stakeholders, subcontractors, suppliers, and internal team members.

Monitor and track project expenses, invoices, and purchase orders.

Assist in the procurement of materials, equipment, and services needed for construction projects.

Support the preparation of bid proposals, tender documents, and contract agreements.

Provide administrative support during the project closeout process, including compiling closeout documentation and assisting with final project documentation.

Uphold confidentiality and discretion in handling sensitive project information.
