Our client, a global Investment firm, is seeking an Executive Assistant to support an awesome Investor Relations team of executives, which will include primary executive administrative support for the team and all of the executives are fantastic to work for/with! Candidates must be very collaborative, have a minimum of 3 -7+ years of experience working in a corporate office (ideally within financial services, and a bachelor’s degree is required.) Ideal candidates should be extremely polished and professional, highly organized, proactive, resourceful, hardworking, calm under pressure, accustomed to working in a fast-paced, ever-changing environment, and possess excellent interpersonal and communication skills (both verbal and written). Hybrid role – 3/2
Salary depends on experience (105 – 110K base), plus built in paid OT which would bring the role to 135-140k + Bonus
Hours are 8-6 with a 3/2 hybrid schedule
Responsibilities:
Schedule and organize meetings, conferences and off-sites including all related logistics/materials – pro-actively address conflicts and exercise strong judgment based on priorities, seeking guidance as needed
Prepare and reconcile expense reports
Set up conference rooms, order food and beverages
Prepare/coordinate materials for meeting, calls and follow ups
Coordinate event registration, travel arrangements and itineraries for team
Keep team on track and know how to prioritize
Assist with special ad hoc projects as needed
Qualifications
Minimum 3-7 years corporate experience
Bachelors degree
Ability to recognize time sensitive projects
Team – oriented and collaborative attitude a must
Must work well under pressure
Excellent written and verbal communications skills
Proficient in MS office and CRM
