Executive/Investment Assistant - Global Investment Firm (Midtown)

Well-Known Global Investment Firm in Midtown Manhattan is seeking 2 new Full-Time/Permanent Executive Assistants/Investment Assistants (one on the private side and one on the public side) to join their growing teams! One position is an “add to staff” and open due to company growth, the other is available as the person in the role is relocating out of state. Candidates must have a minimum of 5-10+ years of applicable high-level executive administrative experience supporting a team within financial services (finance is required) and a Bachelor’s degree is also required. The admins are a tightknit group so this person should be extremely personable, agreeable, flexible, enthusiastic, and want to get along with everyone on the team. They should also be familiar with the fast pace and lingo of working in financial services and possess heavy calendar management skills. Salary depends on experience (110-150k base) plus discretionary bonus eligibility.

Hours are either 7:30am-5:00pm or 8:00-5:30pm, with flexibility. Hybrid work schedule (4 days in office, 1 remote).

Responsibilities:

Provide high-level executive administrative support for up to 4 investment professionals.

Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; manage and maintain busy and ever-changing calendars.

Coordinate a high volume of complex domestic and international travel arrangements and detailed itineraries.

Prepare, process, and submit expense reports; maintain records of receipts and paperwork.

Act as gatekeeper; discern which information and callers get through to the investment professionals; provide phone coverage and screening; handle correspondence.

Communicate with sell side to obtain research and models, creating and assembling detailed research packets using internet and research outlets (such as FactSet), extracting brokerage and company generated reports, etc.

Generate both physical and digital files.

Provide back-up coverage for other Assistants as needed.

Requirements/Qualifications:

Minimum 5-10+ years of applicable high-level executive administrative experience within financial services (finance is required).

Support experience within a team environment preferred.

A Bachelor’s degree is required.

Strong interpersonal and communication skills.

Strong Microsoft Outlook and Excel skills with a knowledge of Word and PowerPoint.

Demonstrated customer service orientation and strong organizational skills.

Strong interpersonal skills; ability to work with others across the firm and external constituents and enjoys developing professional relationships.

Team-oriented; willingness to work collaboratively and pitch in on ad hoc tasks and requests to ensure all needs are met.

Efficient communicator; clear, direct communication is valued in a robust and busy work environment.
