We have an independent auto repair shop located in Brooklyn and are looking for an experienced receptionist who would be interested in becoming a crucial part of our shop. A little bit about our shop:
● We are a pretty busy shop and have been in the business for over 30 years.
● We are a female run mechanic shop, although we don’t tend to advertise this. It's a pretty important part of how our shop is structured. As the auto industry tends to be mostly male dominated (at the moment we unfortunately do not have any female technicians) but we make sure our staff as well as customers are equally respectful and respected.
● We have been able to create a steady flow of customers by being honest about expectations and what can be done. We may not be the cheapest shop in the area, but we will always get the job done to the very best of our ability. Quality to us means everything. Little details are what set us apart.
● We are very aware of the changes in our industry and we're trying to create a shop that will keep up with the times. We are focused on training each of our technicians to become the best they can be.
● We have a really good group of people working with us. Everybody who is on our team is passionate about the industry (although for the receptionist position you don’t need to have experience in the auto industry, just an interest in learning!) . Everybody understands what our vision is and wants to make it come true. At the end of the day if the shop does better, we all do better.
● As much as we like to communicate with customers, we love to communicate with our staff! We have 1-on-1 meetings pretty often. Communication is extremely important to us, as it creates an open and honest environment for everyone. We also have weekly catered team lunch meetings. Where we all sit, eat and talk about any updates we have with the shop, as well as any wins or opportunities for us to improve. It's a great time to bounce off ideas anybody has, as we believe in order to create the best work environment we need to be able to put all our thoughts together.
So now that you have an idea of what we can offer/what we are looking for, here is an overview of the responsibilities this position will have:
As a Receptionist, you will be the first point of contact for our company. For this role it is very important that you can handle multiple calls at once, with a pleasant demeanor. Our Receptionist’s duties include offering administrative support for the office. You will welcome guests and greet people who visit the business. You will coordinate front-desk activities, including creating invoices and taking in payments in a timely manner, as well as receiving and processing auto part deliveries for ongoing jobs. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. Please include the word rockstar in your email, as this lets us know you have an eye for detail.
● Greet and welcome guests as soon as they arrive at the office
● Answer, screen and forward incoming phone calls
● Ensure reception area is tidy and presentable, with all necessary stationery and material
● Provide basic and accurate information in-person and via phone/email
● Receive, sort and make payments for incoming part deliveries
● Order front office supplies and keep inventory of stock
● Schedule appointments
● Data Entry
● Create invoices for customers and take payments
● Maintain trusting relationships with suppliers, customers and colleagues
● Call customers to advise them about service changes or car pick-up times. Create good communication between customers to ensure repeat customers.
Preferred Skills:
● Proven work experience as a Receptionist, Front Office Representative or similar role
● Proficiency in Microsoft Office Suite or Google Suite
● Proficiency in Quickbooks Online
● Professional attitude and appearance
● Solid written and verbal communication skills
● Ability to be resourceful and proactive when issues arise
● Excellent organizational skills
● Multitasking and time-management skills, with the ability to prioritize tasks
● Customer service attitude
● Tech savvy, with social media knowledge
Requirements:

Tuesdays - Fridays 10:00 AM - 6:00pm
Saturdays 9:00 AM - 3:00 PM
● Must be located in the NYC area, and be able to commute to Greenpoint, Brooklyn easily.
● Starts at $18 - $22/hour
