Office Administrator & Personal Assistant

We are seeking a detail-oriented and experienced Office Administrator & Personal Assistant to manage the daily operations of our Property Management office. The ideal candidate will have excellent administrative abilities, a strong understanding of property maintenance, and experience with tenant relations, leasing, and maintenance coordination. Proficiency in property management software (Rent Manager) is essential.

Key Responsibilities:

Handle phone and email communications with tenants, addressing concerns promptly and professionally.

Prepare new lease agreements and coordinate lease renewals with current tenants.

Prepare weekly/monthly financial reports.

Process accounts payable (A/P) and accounts receivable (A/R) transactions and manage bill payments.

Source new suppliers for the construction team.

Schedule and follow up on maintenance activities with the maintenance team.

Process Section 8 housing applications and assist tenants with understanding their rights and responsibilities under the program.

Manage eviction proceedings in compliance with local and state regulations.

Maintain accurate records and streamline office procedures for efficiency.

Qualifications

Experience:

Minimum of 2 years of proven experience in property management or a related field.

Skills:

Strong administrative and organizational skills with attention to detail.

Exceptional phone etiquette and communication skills for effective tenant interaction.

Ability to manage multiple tasks under pressure.

Knowledge:

Familiarity with real estate laws and regulations is highly desirable.

Experience with legal administrative processes related to property management is a plus.

Knowledge of property maintenance or related technical fields is beneficial.

Technical Proficiency:

Advanced knowledge of property management software is required: Rent Manager Software
