About the Role
A General Contractor is seeking a detail-oriented Project Documentation & Compliance Coordinator to support our construction projects. This on-site position is responsible for assisting the Project Manager and Office Manager with daily documentation, compliance reporting, requisition support, and contract administration. The ideal candidate has experience working on NYC government contracts and understands agency-specific paperwork, especially for NYCHA, NYCSCA, DEP, OGS, MTA, and DASNY.
Key Responsibilities
Manage and maintain daily sign-in/sign-out logs for workers, subcontractors, and visitors
Collect, verify, and process daily timesheets, certified payroll records, and labor reporting forms
Assist with preparing and submitting weekly payroll compliance reports (e.g.,eComply, LCMS, or similar platforms)
Support PM and Office Manager with contract documentation, submittals, RFIs, change orders, and requisition paperwork
Maintain organized digital and physical files in accordance with NYC agency requirements
Coordinate with field supervisors to track manpower, deliveries, inspections, and job progress
Ensure all documentation meets government contract standards, including labor law compliance
Assist with preparation of safety logs, incident reports, and agency paperwork
Communicate with project staff, subcontractors, and agency representatives as needed
Support closeout documentation, including O&M manuals, warranties, and punch list tracking
Qualifications
Experience with NYC public agency projects is strongly preferred, especially:
NYCHA, NYCSCA, DEP, OGS, MTA, DASNY
2–5 years of experience in construction administration, project coordination, or compliance reporting
Familiarity with certified payroll, prevailing wage rules, and labor compliance platforms
Strong organizational skills and attention to detail
Ability to work independently in a fast-paced construction trailer environment
Proficiency with Microsoft Office (Excel, Word, Outlook) and PDF markup tools
Strong communication skills for coordinating with field and office staff
Reliable, punctual, and comfortable working on an active construction site
