We are seeking a highly organized and efficient Secretary/Office Assistant to provide administrative support. In this role, you will be a key point of contact, managing communications, organizing documents, and assisting with various administrative tasks. The ideal candidate will have excellent communication and interpersonal skills, a strong work ethic, and a commitment to providing exceptional support.
Key Responsibilities:
Administrative Support:
Answer and direct phone calls, taking messages and providing information as needed.
Greet visitors and clients, ensuring a warm and professional welcome.
Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.
Maintain office supplies and equipment, ordering replacements as necessary.
Schedule appointments and manage calendars for team members or executives.
Prepare and format documents, including letters, memos, reports, and presentations.
Maintain filing systems, both electronic and physical, ensuring accurate and organized records.
Communication & Coordination:
Draft and send emails and other correspondence on behalf of the team or department.
Other Duties:
Assist with data entry and record keeping.
Perform research and gather information as needed.
Handle confidential information with discretion.
Contribute to a positive and productive work environment.
Required Skills and Qualifications:
High school diploma or equivalent; Associate's degree preferred.
Proven experience as a Secretary or in a similar administrative role.
Excellent organizational and time management skills.
Strong attention to detail and accuracy.
