The Role
We’re hiring an Administrative Coordinator to support the day-to-day organization, documentation, and internal coordination that keeps our studio running smoothly. This role is heavily operations and admin focused, ideal for someone who thrives on structure, accuracy, and clear processes.
This is an on-site position based in our Manhattan studio.
Key Responsibilities
Administrative & Operations Support
Maintain and update internal trackers, calendars, and status documents
Support purchase order administration and internal record-keeping
Ensure operational files and folders are accurate, current, and well organized
Coordination & Follow-Ups
Help manage follow-ups with external partners and internal teams
Track outstanding actions, confirmations, and next steps
Assist with scheduling, reminders, and deadline management
Data & Documentation Accuracy
Enter and verify data across spreadsheets and internal systems
Assist with maintaining reference documents related to products, packaging, and logistics
Double-check details to ensure consistency across records
Materials & Sample Handling
Receive, label, log, and organize incoming studio materials
Prepare items for internal reviews, photo shoots, or outbound requests
Cost & Logistics Assistance
Help collect pricing information and record costs
Assist with basic shipment documentation and hand-offs when needed
General Studio Support
Provide day-to-day operational assistance to the team
Support launches, busy periods, and special projects as they arise
Qualifications
Required
Strong administrative and organizational skills
Exceptional attention to detail and follow-through
Clear written and verbal English communication
Comfort managing multiple tasks and priorities
Proficiency in Google Workspace and Excel / Google Sheets
Preferred (Not Required)
Prior experience in operations, administration, or coordination
Mandarin Chinese proficiency
Familiarity with basic production, logistics, or vendor workflows
Experience with tools like Airtable, Monday, Shopify, or similar platforms
Additional Requirements
Must be NYC-based and available to work on-site
Willingness to occasionally support coordination across time zones
