About the role:
As a Front Desk Officer/receptionist you will be responsible for educating new and existing clients about our products and services. You will work closely with therapists on planning out new patient consultations while your focus is on maximizing sales, booking appointments, and all receptionists tasks. Duties include and are not limited to closing and opening the clinic, cleaning, retail and service sales, filing, organizing, tracking inventory, opening and moving boxes under 20 lbs, creating spreadsheets and representing the clinic at events and other work-related activities.
These are contractual positions; NDAs must be signed.
Role Requirements:
Candidates should have a minimum of three years of direct client-facing receptionist and sales experience in a medical spa or aesthetic clinic.
Experience with luxury brands is preferred.
A passion for delivering excellence is essential.
The role requires experience in full front desk reception skills along with retail and service sales.
Professionalism and discretion are crucial, as our patients value privacy.
A strong interest in skincare, wellness, and holistic health is necessary.
The ideal candidate will be a motivated self-starter capable of working independently without constant supervision. Computer skills are necessary.
Fluency in more than English is a plus.
Organizational, problem-solving, and multitasking skills are required.
The ability and want to quickly learn and implement new information are important.
Tactfulness under pressure when addressing patients and therapists' needs is a must.
Flexibility to work a non-traditional schedule, including nights and weekends, is needed.
An undergraduate degree is preferred.
Role Responsibilities:
Receptionist duties include and are not limited to -
Supporting and maintaining clinic standards
Execute all CRM, patient bookings, electronic record keeping, inventory, ordering front office supplies, restocking, and maintaining clinic cleanliness to our standards
Conducting inventory, checking in shipments, record keeping
Provide support to the therapists with equipment and treatment rooms
Meet and exceed retail and service sales goals
Act as a Brand Ambassador and provide clients with an exceptional service experience through an understanding of services and products.
Build, maintain and foster patient relationships
Understand the selling and consultation process, upholding and adhering to our philosophy
Proactive outreach to patients for bookings and potential patients
Use promotional approaches such as phone calls, emails and texts to reach existing and potential patients
Coordinate with therapists to optimize sales
Update Management on all sales activity, including daily performance
Motivate team to support sales operations
