Logistics Coordinator - Office
A to Z Media is a leading supplier of physical media products, packaging, apparel and branded merchandise to music labels, content creators, businesses and other organizations. We have devoted the better part of 30 years transforming good ideas into magical physical media creations including Vinyl Record Pressing, CD/DVD/Cassette Replication, and Deluxe/Standard Printing/Packaging of endless varieties. A to Z has offices or staff in New York, Portland (OR), Milwaukee, San Francisco and elsewhere. This position will be based in our main office in Manhattan with Semi-regular attendance in our Springfield Gardens/Queens warehouse location.
We are seeking a Logistics Coordinator.
The position provides operational involvement to our internal staff, external clients, as well as suppliers. These activities include BOL Booking, UPS small package booking , shipping issue resolution, product check in, shipment construction, and facilitating the day-to-day business needs of the AtoZ staff and customer(s). The candidate is also responsible for responding to inquiries in a prompt, courteous and effective manner, and proactively problem solving issues as they arise.
Additionally, the position's responsibilities will include coordinating shipment instructions between various cross dock locations and leading the administrative requirements of high volume LTL shipments delivering to a variety of locations throughout the world. This position reports directly to the Warehouse Manager and Vice President of Operations.

Essential Duties & Responsibilities:
Support of Internal Staff:
Shipping docket ( google sheets ) management and fulfillment of shipping instructions
Close shipping docket confirming everything has shipped and resolving pending issues
Create pick sheets & packing slips for cross dock warehouses to process container shipping
Work with cross dock locations to process shipments from the containers by booking FT / LTL / Small Package shipments
Update packing slips / Tracking / Costs
Work with AToZ CSR’s on real time shipment updates / concerns
Resolve questions / concerns / issues with the cross dock location
Vet vendor shipping invoices on that are booked for Full Trailer and local delivery to confirm costs match the approved rate for that move out of the Cross Dock Location
Book 3rd Party BOL’s for CSR’s & Atoz Warehouse
Book 3rd Party UPS small pack for CSR’s
Quote BOL shipping costs from Warehouse / Crossdock
Help resolve pick up/ delivery issues on shipments
Cross Train within the Logistics and Warehouse staff for coverage when coworkers are out of office.
Proactively resolve issues with a variety of carriers to expedite delivery, locate missing items, and overcome daily challenges of a complex logistics program
Logistic Responsibilities:
Receive in consolidated freight shipments
Breakdown shipments and create shipments as pallet or parcel shipments based on client needs and warehouse SOP for shipment sizes
Operate Forklift
Load trucks for outbound shipments
Update inventory of stored times and Pick Pack stock
Create shipping BOL’s and paperwork for LTL & FT dispatches
Set up and book UPS, FedEx, & DHL parcel shipments
Create pre alert notices for shipments for involved parties and own shipments from pick up to successful delivery
Monitor and resolve issues with delivery
Maintain internal KPI statistics for monthly reports
Audit and code freight bills for payment with appropriate general ledger account numbers
Monitor outgoing shipments - be sure all product picked up and in transit and proactively address issues
Coordinate with vendor(s) for pick up times and consignees for delivery
Be aware of and ensure product is build to Distribution specifications and delivery requirements
Focus on process and system refinement
Additional Responsibilities:
Duties as assigned by management, this could include, but not limited to; responsibility to cross train with other operations representatives on each other’s areas of responsibility to further gain experience for advancement.
Requirements:
Bachelor’s or Associate's Degree or related experience in lieu of a degree
Two + years of progressive logistics experience in a similar role or recently graduated with a relevant degree
Computer Skills
Competency with Office Software including Google docs / spreadsheets / FedEx.com / UPS.com / 3pl Booking sites
Experience in a small to midsize company is preferred but not required
Experienced and skilled with production and logistics software platforms
Strong organizational skills related to operations
Ability to work within a team as well as independently in a fast-paced environment.
