This role is designed for someone who thrives in a structured, fast-paced, and detail-oriented environment, and is passionate about helping a busy executive maintain focus and organization without requiring direct access to sensitive systems. You will be instrumental in managing complex task flows, critical communications, calendar oversight, and administrative operations using a variety of sophisticated digital platforms. We are committed to fostering an inclusive workplace where all team members can thrive and grow.Key Responsibilities Executive Support: Serve as the administrative backbone to the President by proactively organizing task lists, tracking deliverables, and preparing daily and weekly summaries to ensure key objectives are met. Task & Calendar Management: Independently mirror and maintain a parallel task and reminder system to meticulously support the President's calendar commitments and external obligations, ensuring seamless execution without direct access to sensitive internal platforms. Administrative Workflow Optimization: Develop, refine, and organize critical files, templates, forms, and internal Standard Operating Procedures (SOPs) using Google Workspace and Microsoft 365. Email & Communication Management: Draft professional correspondence, efficiently filter and manage inboxes, and handle follow-ups across eM Client, and Outlook, and Googlemail. Meeting & AI Tool Integration: Leverage AI tools to accurately capture and summarize meetings, identify and log actionable items, and meticulously maintain follow-up records to ensure continuity. Project Coordination Support: Assist in managing team task boards, aligning internal due dates, and helping to enforce accountability across various platforms to keep projects on track. Software & Platform Navigation: Provide backup assistance to the administrative coordinator in coordinating project data between diverse systems. Light Bookkeeping & Expense Tracking: Precisely track receipts, organize detailed expense records, assist with invoice reviews, and coordinate effectively with the company’s bookkeeper or CPA as needed. Travel & Logistics Coordination: Independently coordinate comprehensive travel plans and assist with occasional executive or personal scheduling and logistical arrangements. Tools You’ll Use Email/Calendar: eM Client, Outlook, Googlemail. Docs & Collaboration: Google Workspace (Docs, Sheets, Drive), Microsoft 365 (Word, Excel, OneDrive). CRM/Operations: Housecall Pro, Connecteam, Homebase, and others as they are deployed. AI Tools: NotionAI, Fireflies.ai, and others. Bookkeeping: Excel, QuickBooks, or other accounting platforms (experience a plus). Qualifications Education: High school diploma or equivalent required. Associate degree and higher education preferred. Equivalent professional experience will be considered. Experience: 2-4 years of proven administrative experience, specifically in an executive assistant or personal assistant role supporting leadership in multi-project environments. Technical Proficiency: High proficiency with cloud-based tools and complex communication platforms is essential. Language: Proficiency in English is required. Core Competencies: Exceptional organizational and meticulous time management skills. Strong written and verbal communication skills with impeccable attention to detail. Demonstrated ability to effectively manage competing priorities and proactively navigate shifting demands. A proactive and highly collaborative approach to complex problem-solving. Unwavering discretion and professionalism in handling highly confidential information. Bonus Qualifications:Background in any of the following Industries: Swimming Pools, Dentistry, Medical, Technical, or Construction sectors are a plus. Additional Requirements Employment is contingent upon successful completion of a background check. Occasional travel throughout New York and New England may be required for meetings or support. Reliable transportation to and from job sites. Ability to work independently while consistently anticipating executive needs is key. Valid driver’s license with a clean driving record preferred. Slip-resistant footwear required when in the field, composite or steel toe shoes preferred. Eye Protection is required while in the field. Willingness to work indoors and outdoors in various environments and weather conditions.
