Company Overview

Andrea Olson Productions LLC is the umbrella company for 3 popular online businesses: Go Diaper Free, Tiny Undies, and MamaWorx. We impact 100,000s of babies and their parents per year to go “diaper-free” as early as birth, and we help a small segment start their own similar businesses.

We are a small team of 9 dedicated, mostly-remote part-timers located in Asheville, Montana, Brazil, and The Philippines. We have a dozen digital products and 14 physical products, plus a small distribution office/storeroom in West Asheville, NC.

The owner is mother to 5 small children and works half-time from her home in East Asheville. Seeking someone in the local area who can work closely with the owner at her home office (a large detached studio) part of the time and part of the time remotely from their own home office.

Job Brief

We are looking for an Operations Assistant to organize and oversee operations, projects, and the team.

As our Operations Assistant, your job will be to coordinate people and processes to ensure that our day to day activities are operating effectively & efficiently. You will be the go-to person for everyone on the mostly-remote team, buffering the owner from questions that come up throughout the work day.

Key areas of responsibility include:

Project Management – laying out plans and managing projects through to completion, including launches, managing programs, creation of new revenue streams, updating websites, etc.

Operations Management – automating systems and creating processes for all day-to-day activities in the business to streamline and simplify how things are run

Metrics Management – tracking stats for key business activities to see what is working and what is not working so that decisions can be made for ongoing growth

People Management – outsourcing, managing, and leading the efforts of the team to meet business goals

You ideally have a background in business skills, management, online marketing, and analysis. You also need to be a team player and have a problem-solving aptitude. You should be an excellent communicator and comfortable managing multiple tasks, and can collaborate effectively with various teams.

We expect you to be a tech-savvy professional with an understanding of how technology can help us achieve our business goals - specifically, online funnels, webinars, email marketing, and other automated online marketing processes. You should be methodical and have excellent time management skills.

Responsibilities

Delegate to various members of the team (including vendors) for completion of applicable tasks, setting priorities and ongoing follow-up as required.

Coordinate internal processes and ensure that all day to day tasks are completed on-time and within scope

Implementation (doing) of applicable tasks within projects with an eye for detail and the ability to dive into the “nitty gritty” aspects of what needs to be done

Collaborate on creation of new products or programs — working with the team to set up systems and structure for any new offerings.

Manage multiple (and concurrent) projects from idea to execution, including the creation of a project plan and implementation of an online, centralized project management system

Track company performance & KPIs using appropriate systems, tools, and techniques

Maintain & optimize current systems and create SOPs

Report and escalate to CEO as needed

Requirements

You have proven working experience as a project administrator/operations assistant

You take pride in seeing projects through to completion, on time, accurately and in alignment with the company’s standards of quality and client care

You have excellent organization and time management skills

You have proven experience in e-commerce and inventory management

Experience in online education/coaching/info products business is a plus

You love to OWN the business management side of the business

You are an excellent communicator and are great at managing people

You thrive and deliver while working on SHORT timeframes in a fast-paced environment; juggling multiple projects simultaneously

You are a results-oriented self starter who can easily handle multiple tasks, projects and vendors, juggle multiple tasks simultaneously, manage and prioritize minute-by-minute, and are exceptionally responsive (ie: if a website goes down over the weekend, you’re online with tech support until it’s solved)

You offer a strong commitment to the business owner, coming in with the mindset of a partner to protect their time and energy

You ideally have a solid technical background with understanding or hands-on experience in software and web technologies including or similar to Mighty Networks, Shopify, ConvertKit, Thrivecart, WebinarJam, Canva, ClickFunnels, and Wordpress

You have solid working experience with Google Drive, Asana/Workcast, and Slack

You are located in Asheville, NC

A commitment of 20 hours a week to start is required, with the availability to grow into a more dedicated role as the business reaches various milestones. Work on evenings and weekends may be required from time to time during launches or events but is not expected as standard. 1099 contract work, no benefits, however, perks include flexibility and the unique experience of working with a successful online business owner to learn cutting edge skills.
