We are seeking a highly organized, customer-focused Scheduler / Inside Sales Coordinator to join our commercial detailing team. In this role, you’ll play a critical part in ensuring seamless service delivery by scheduling detailing jobs, managing client relationships, processing invoices, and supporting our sales efforts. You’ll serve as the key communication link between our clients and detailing crews, ensuring exceptional service from start to finish.
Key Responsibilities:
Scheduling & Coordination:
Schedule commercial detailing jobs based on client needs, crew availability, and geographic efficiency.
Maintain and update scheduling software with job details, notes, and changes in real-time.
Monitor daily workflows and adjust schedules proactively to meet deadlines and customer expectations.
Client Communication & Liaison Duties:
Serve as the primary point of contact for clients regarding scheduling, job updates, and service follow-ups.
Translate client requests and expectations clearly to the detailing team.
Resolve scheduling conflicts or client concerns promptly and professionally.
Inside Sales Support:
Respond to inbound sales inquiries via phone and email.
Provide quotes, service information, and upsell additional services where appropriate.
Track and follow up on leads and proposals to convert prospects into repeat customers.
Invoicing & Administrative Tasks:
Generate and send invoices accurately and on time using our software.
Track payments and coordinate with accounting on any discrepancies.
Maintain organized digital records of jobs, communications, and transactions.
Qualifications:
Proven experience in scheduling, customer service, or inside sales—preferably 1 to 2 years and in a service-based or field-based industry.
Strong organizational and multitasking skills; able to manage a fast-paced workflow with minimal supervision.
Excellent verbal and written communication skills.
Proficiency with scheduling/invoicing software and Microsoft Office (Word, Excel, Outlook).
High attention to detail and strong problem-solving abilities.
Friendly, professional demeanor with a customer-first mindset.
Preferred Qualifications:
Experience in cleaning, detailing, construction, or a similar industry.
Familiarity with CRM or field service management software.
