We boldly go.As the HR Solutions Executive Assistant, you will be responsible for managing various administrative tasks, ensuring the smooth operation of our office environment, building culture and community across the team, and supporting the VP of HR Solutions.This position is an on-site role based out of our Davidson, NC headquarters.Responsibilities:

Calendar management: Coordinate the executive’s calendar, including scheduling and responding to invites, setting reminders, preparing meeting materials, maintaining distribution lists

Meeting management: Assist with the organization and logistics of group and team meetings, including collecting materials, preparing slides, booking rooms, managing technology, and taking notes.

Events and Town Halls: Plan and coordinate large meetings, including reserving rooms, ordering catering, and managing meeting logistics.

Expense management: Handle expense reporting, receipts, and related activities for the VP and your own expenses related to HR Solutions office and activities

Travel arrangements: Arrange travel for the VP and provide support to the HR Solutions leadership team for travel related to the VP.

Office management: Maintain a clean and organized office environment, including conference rooms, storage areas, and common spaces.

Visitor management: Manage the campus visitor log, escort visitors, and ensure a welcoming atmosphere.

HR Solutions communication channels: Facilitate regular online posts by team members, encourage engagement, and write employee communications as needed. Manage content organization and archiving for the leadership team's communication channel.

Other administrative duties: Support the VP and leadership team with tasks such as note-taking, creating documents, conducting research and organizing data.

Uplift Team: Participate as a core team member, generating ideas and coordinating all logistics for HR Solutions' Uplift Team events.

Community engagement: Take the lead in planning and organizing celebrations and engaging activities for the team, to build community and culture across HR Solutions.

All other duties assigned in support of the VP or the HR Solutions leadership team.

Qualifications:

High School Diploma is required; Associates degree is preferred.

At least 5 years of related experience in an administrative role supporting an executive within a corporate environment is required.

Essential Skills:

Detail-oriented and diligent work ethic.

Proficient with all Microsoft applications including Outlook, Excel, Word, and PowerPoint.

Ability to prioritize tasks and keep tasks and assignments organized.

A high-level of motivation and initiative, strong bias for action

Ability to communicate clearly both written and verbally.

Strong customer service mindset, with the ability to work cohesively with others

Ability to multitask with minimal supervision.

Ability to work effectively and accurately under pressure with tight timeframes.

Demonstrated track record of interacting with all levels of management, staff and outside contacts in a courteous, professional and discreet manner.

Ability to handle confidential information in a professional manner.

Base Compensation Range is $69,120 to $91,350Disclaimer: This base salary range is based on US national averages.
