The Secretary II provides essential administrative support within the Installation Maintenance Division (IMD) Maintenance Operations Center (MOC), specifically under the guidance of the Maintenance Manager. This role involves performing moderately complex secretarial and office duties. Secretary II receives guidance and direction as necessary from the IMD Maintenance Manager with regards to policies, directives, and professional development. ResponsibilitiesThis position description is subject to change at any time as needed to meet the requirements of the program or company. MAJOR JOB ACTIVITIES:

Carries out recurring office procedures independently and selects the guideline or reference that fits the specific case. The supervisor will provide specific instructions on new assignments and checks completed work for accuracy.

Respond to routine telephone requests that have standard answers; refer calls and visitors to appropriate staff.

Control mail and assure timely staff response and send form letters.

As instructed, maintain supervisor's calendar, make appointments, and arrange for meeting rooms.

Review materials prepared for supervisor's approval for typographical accuracy and proper format.

Maintain recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans.

Requisition supplies, printing, maintenance, or other services, create, and maintain office files.

Schedule tentative appointments without prior clearance. Make arrangements for conferences and meetings and assemble established background materials as directed. May attend meetings and record and report on the proceedings.

Review outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures; assure that proper badging and clearances have been obtained, when needed.

Collect information from the files or staff for routine inquiries on office program(s) or periodic reports and refer non-routine requests to supervisor or staff.

Explain to subordinate staff supervisor's requirements concerning office procedures, coordinate personnel and administrative forms for the office and forwards for processing.

Contribute to company Newsletter articles formatting.

Job duties and responsibilities may change due to contractual requirements.

Performs other duties as assigned to meet organizational/operational objectives.

QualificationsMINIMUM QUALIFICATIONS: EDUCATION/CERTIFICATIONS: One year related experience may be substituted for one year of education, if degree is required.

Must be able to provide proof of U.S. Citizenship, such as a birth certificate or a U.S. Passport.

High School Diploma or equivalent required.

Possess high ethical standards and demonstrate professionalism.

Above average proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Access), SharePoint, and basic Adobe products is required .

Strong written and verbal communications skills; ability to interact at all levels.

Must have or able to obtain and maintain a Common Access Card (CAC).

Must be able to operate standard office equipment, such as a computer, copier, fax machine and printer.

Able to react to change productively and handle additional tasks as assigned.

Must have a valid State Driver’s License with no restrictions.

Must be able to maintain driving privileges aboard the Fort Liberty Installation.

Must be able to successfully pass a pre- employment drug screening.

EXPERIENCE:

Two (2) years of performing secretarial functions.

Two (2) years of experience using Power Point, word, excel, windows and SharePoint.

Knowledge of Human Resource functions, U.S. Army maintenance and, logistics operations helpful.

SKILLS:

Excellent organizational skills, ability to prioritize, perform with a high degree of accuracy and multi-task in a fast-paced environment.

Strong written and verbal communications skills.

Ability to work independently or in a team-based, highly collaborative environment.

Ability to work with all levels of management.

Must be experienced in Share Point, One Drive and 365.
