Administrative Duties:
Answer phone calls and respond to emails promptly and professionally. Greet clients at the front desk and provide assistance as needed. Scan and digitize documents as needed. Assist in managing both the physical filing system and the digital shared drive. Monitor and collect overdue payments, tracking accounts receivable. Assist in tracking tax deadlines and ensuring clients submit required documents on time. Ensure all confidential client information is handled securely.
Bookkeeping Duties:
Perform monthly reconciliations of client accounts. Ensure all transactions are accurately categorized and compliant with GAAP. Prepare financial reports, including balance sheets and income statements. Record adjusting journal entries and year-end journal entries as needed. Track recurring payments through Fluid Pay and oversee QuickBooks Online (QBO) subscription billing. File 1099-NECs annually before January 31st. Process and file Sales & Use Tax and Food & Beverage Tax payments. Stay updated on best bookkeeping practices and compliance requirements.
Qualifications:
Proficiency in QuickBooks Online and QuickBooks Desktop is required. Experience using Microsoft Outlook, Word, and Excel. Strong written and verbal communication skills. Excellent organizational and time management abilities, with the capability to prioritize tasks and meet deadlines. Problem-solving skills to address client inquiries and resolve bookkeeping discrepancies. Experience with client portals such as ShareFile and Adobe for document management is a plus. Familiarity with basic tax knowledge is preferred. Ability to work independently while collaborating with a team.
This is a contractor position with fluctuating weekly hours based on the tax season:
January: 24 hours per week. February – April 15 (Busy Season): 40 hours per week. Post-April 15 – End of Off-Season: Hours return to 24 hours per week.
