We are looking for a Pro-Enterprise-Silver 2020 QuickBooks experienced (must have expert knowledge of QuickBooks) Accountant/Bookkeeper/Office manager to maintain our financial services department and organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Office manager duties and responsibilities include being a team player, keeping the financial books, scheduling meetings and appointments, making office supplies arrangements, greeting visitors, and providing general administrative support to our employees. Previous experience as a corporate bookkeeper, front office manager/office administrator is a must. A successful candidate should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to handle administrative duties accurately. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
Responsibilities
Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, errands, shopping
Schedule meetings and appointments
Organize the office layout and order stationery and equipment
Maintain the office condition and arrange necessary repairs
Maintain office policies, operations, and procedures as necessary including HR
Maintain all finances through QuickBooks and share this information monthly with the corporate accountant for review
Prepare and maintain all client jobs files for invoicing
Ensure that all items are invoiced and paid on time
Work with our corporate collections attorney on delinquent accounts receivable
Manage agreements and price negotiations with office vendors, service providers, et. al.
Manage company 401K
Provide general support to visitors
Assist in the onboarding process for new hires
Maintain anniversary, and select occasion dates for staff/owners
Prepare conference room for all in-house legal proceedings
Report directly to the owners
Skills
Expert knowledge of QuickBooks
Experience as an accountant, bookkeeper, or accounting manager is desired
Additional experience as an office manager with a bookkeeping background or office administrator with invoicing experience is also a plus
Knowledge of office administrator responsibilities, systems, and procedures
Proficiency in computer software/Internet
Hands-on experience with office machines (e.g., fax machines and printers)
Human Services compliance
Company 401K management with consultants/broker and platform representatives
Attention to detail and documentation
Excellent time management skills and ability to multi-task and prioritize work
Problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with a capacity to suggest improvements
