Description We are offering a contract to hire employment opportunity for a Front Desk Coordinator in Cleveland, Ohio. This role falls within the community mental health facility and involves coordinating front desk activities, including answering phones, scheduling appointments, and other administrative support tasks. Responsibilities: Serve as the first point of contact at the front desk, managing the reception of visitors and answering inbound calls. Schedule appointments for clients and ensure the smooth operation of daily activities. Maintain an updated schedule of all provider/client appointments and monitor clinic schedules. Conduct patient check-in and check-out functions, verifying and updating patient demographics in the electronic health records system. Monitor the flow of appointments in the clinic, notifying the clinic manager or appropriate staff if someone has been waiting too long. Work closely with the Integrated Behavioral Health Service team to ensure that electronic medical records accurately reflect appointment times and services. Assist client and staff with coordination of mail, both internal and external. Open new enrollment in the electronic medical records system so that client services can be reflected and billed appropriately. Obtain copies of important documents presented by clients and scan them into the electronic medical records system. Cross-train with other Front Desk Coordinators to fill in for Behavioral Health Intake Specialist as needed. Ensure confidentiality of clinical information in accordance with established guidelines and procedures. Perform other administrative support tasks and projects as needed. Requirements Must possess strong communication and organizational skills Proven experience as a Front Desk Coordinator or similar role Proficiency in managing inbound calls and handling queries effectively Experience in patient scheduling and coordinating appointments Familiarity with handling daily mail and correspondence Basic knowledge of office equipment and systems Ability to multitask and manage time effectively Excellent interpersonal skills and a customer-focused approach High level of discretion and judgment in handling sensitive and confidential information Demonstrated ability to work collaboratively in a team environment Strong problem-solving skills and ability to make sound decisions Proficient in Microsoft Office Suite, including Word, Excel, and Outlook High school diploma or equivalent; higher degree in a relevant discipline will be appreciated.
