Job Description

As the Purchasing Administration Assistant, you will support a department managing the product sample process and product purchase orders.

Responsibilities

  • Write the purchase order itself, make sure that the order process is followed, from the order to the delivery, ensuring that problems arise with the line manager and updating the relevant system information
  • Communicate professionally and efficiently with supplier partners about requests and the status of purchase orders. Be the daily point of contact for any questions or problems of the supplier.
  • Participate in continuous competitive purchases throughout the market and present trend research summaries quarterly
  • Catalog of stocks within the internal marketing database using knowledge of fashion, style, and construction of garments
  • Analyze weekly sample reports and identify business needs/issues for follow-up
  • Work with inter-functional partners, build relationships, and develop a solid understanding of each function in purchasing, design, and marketing organizations.
  • Make sure all product information is accurate and up to date
  • Assist in the sampling/preproduction approval process
  • Prepare merchandise to add to stock; run style pages and make sure all samples have been delivered and photographed
  • Prepare and organize samples for adjustment sessions

Qualifications

This work will enable the Vice President for Campus Planning and Facilities Management and leadership across the campus including the President, Provost, Deans, facilities directors, and financial directors to assess facilities and space information systematically and efficiently. The assistant director will use extensive knowledge of Case Western Reserve University enterprise software systems to lead the development of automated processes for administrative functions of campus planning and facilities management to increase efficiency and accuracy. The assistant director will research and develop requirements for enhancements to existing database systems and data analytics software applications/visualizations, including improvements to data pipelines, data management, and data governance, to improve business efficiency and decision-making. The assistant director will also serve as the system administrator for the university-wide space management system (FM Systems), maintain space information, and provide ongoing support to campus users of the space management system through training, maintenance, and troubleshooting of the system. ESSENTIAL FUNCTIONS Provide vision and leadership in the development and implementation of the use of standardized data analytics tools to readily assess the productivity of the facilities enterprise of Case Western Reserve University for leadership at all levels.
