Administrative Office Personnel Needed

Successful Real Estate Development company seeking an administrative person for immediate hire.

This will likely be a full-time position but you can start part-time to get acclimated with the business first.

Basic computer skills and organization skills are a must. Please submit resume and reply to this ad with some background information about you and we will contact you.

Responsibilities:

Maintain and update records, files, and data in a computer system and physical file folders

QuickBooks knowledge is a key component

General office duties such as photocopying, scanning, filing.

Schedule/maintain business calendars, including appointments and meetings, coordinate with the Office Manager.

Meeting Prep for Owner - Conduct background research and present findings; produce documents, briefing papers, reports, and presentations.

Special Projects as requested by the Owner.

Manage correspondence. Create memos, and presentations at the direction of the Owner and Director of Operations

Collaborate with internal departments and team members to accomplish administrative tasks.

Preparation of business documents and prepared drafts on behalf of the Owner.

Assist with meeting activities and event planning by setting up conference room, arranging catering needs, preparing meeting materials and handouts, attending meetings for recording purposes, and preparing minutes of meetings.

Works with Office Assistant in keeping track of social events of the Owner, to ensure there is no overlap of personal and business events.

Maintaining files relevant to projects - documents organization, deadline tracking, spreadsheets with costs and relevant property information, and others.

Internal and external communication, as well as following up with necessary people to accomplish the task

Other duties as necessary to support the work of the Owner and Operations Manager.

Skills:

- Excellent time management and organizational skills

- Strong communication and interpersonal skills

- Attention to detail and ability to prioritize tasks effectively

- Proficiency in Microsoft Office and other relevant software

- Basic knowledge of accounting and bookkeeping

- Ability to maintain confidentiality and discretion

- Familiarity with project management tools and techniques

- Flexibility and ability to adapt to changing priorities and schedules

- Knowledge of real estate
