Office Administrator

Larsen Architects, located in Lakewood, Ohio, now in its 43rd year of operation, is seeking a full-time Office Administrator. As Office Administrator, you will be responsible for overseeing the administrative, financial and operational functions of our firm. A successful Office Administrator is an energetic professional who is open to wearing multiple hats. You will be responsible for supporting our team of professionals and ensuring the smooth operation of our day-to-day activities. In addition to one’s administrative skills, of equal importance, is one’s ability to be the gracious face of our firm, being the lasting first impression to visitors, clients and vendors. Our ideal candidate has at a minimum three years of administrative assistant / customer service. Experience in Architecture, Construction or Design is a Plus.

Responsibilities Include Overseeing the Following:

Staff hours, timesheets, payroll and PTO

Client proposals and contracts

Accounts payables and accounts receivables

Monthly customer invoicing process

Contracts and price negotiations with vendors and service providers

Budgets, expenses and financial planning

Maintain employee files

Maintain pension plan activity

Maintain insurance plans

General office duties: answering phones, filing, mail, ordering supplies, cleaning

Requirements and Qualifications

Minimum Associate degree and 3 years office administration or related role

Proficient in Microsoft Office Suite and Accounting Software. Peachtree currently used

Basic knowledge of general accounting principles and budgeting

Detail Oriented. Excellent communication and organizational skills

Excellent Interpersonal skills, Confidentiality

Other Skills that Would Benefit our Team

Graphic Skills / Experience with In-Design and/or Photoshop

Website Maintenance

Proposal Writing

AutoCAD Software Experience
