Responsibilities:

Office Management

Oversee day-to-day office operations and maintain a tidy and organized workspace.

Organize the office and assist in creating, maintaining, and optimizing office systems and procedures.

Maintain trusting relationships with suppliers, customers, and colleagues.

Perform receptionist duties when needed.

Scheduling

Efficiently manage appointments, meetings, and coordinate schedules for the team.

Ensure timely communication and follow-up on appointments and commitments.

Data Entry and Payroll

Accurate and timely data entry for various tasks, including client information, payroll, and billing

Assist in processing payroll, ensuring accuracy and compliance with company policies.

Bills and Expenses

Handle accounts payable, ensuring accuracy and compliance with company policies.

Maintain organized records or expenses and receipts.

Processing bills and helping clients or customers if they have any questions about their charges.

Communication

Act as a liaison between team members and external contacts.

Handle phone calls, emails, and customer inquiries in a polite and professional manner.

Qualifications:

Proven experience as an administrative assistant or similar role.

Excellent organizational and time management skills.

Attention to detail and accuracy in data entry and record-keeping.

Excellent communication and interpersonal abilities.

Proficient in Microsoft Office Suite and basic office software.

Thorough understanding of office management procedures.

Ability to make independent decisions and aptitude in problem-solving.

Familiarity with payroll processing and is a plus.
