Learn more at www.averydennison.com.Job DescriptionThe Administrative Assistant is responsible for providing onsite administrative support to the Reflective Solutions Operations and R&D team, as well as promoting positive employee relations through the support of plant and team member administrative needs. The administrative assistant will also assist indirect buying for the site and support compliance with corporate and government requirements. The ideal candidate will be proactively engaged with employees. have strong communication skills and are detail oriented.This role will be based in Painesville, Ohio and will report into the Operations Manager. This is an onsite position. The role will be8:00 am - 4:30 pm.Your primary responsibilities and essential functions of this position include:Administrative Support:

Proactively provide and manage administrative, expense and logistic support for the operations and R&D team, including but not limited to: calendar management, room reservations, indirect buying, expense management, mail, and travel logistics.

Assist with document creation including presentations, letters, etc and data analysis for the leadership team.

Coordinate employee events/celebrations such as holiday parties, annual sales meetings, service anniversaries etc.

Manage office files and records, including confidential information and required compliance postings, in accordance with internal procedures.

Perform clerical, administrative and general office duties involving: typing, record and file maintenance, document creation, mail distribution, UPS shipments, supply management, telephone reception, etc.

Arrange meetings, travel, catering, plant tours, maintain organization charts, phone lists, email groups, employee picture boards, in/out boards, creating key card and communication boards.

Support employee on-boarding and off-boarding process.

Provide administrative support to the hourly recruiting process.

Indirect Buying Support:

Analyze and plan material requirements by determining the quantity and date materials are needed to ensure optimal inventory levels.

Audit invoices to ensure that correct charges have been applied.

Work closely with managers to ensure adherence to department budgets.

Manage site match exceptions and Invoice reconciliations for all departments.

Be a liaison between corporate procurement and the Painesville site on all initiatives related to site related purchasing and vendor agreements.

Participate in process effectiveness and continuous improvement projects.

Other tasks as assigned.

Qualifications

High school diploma required. Associate Degree preferred.

3-5 years experience in an administrative role, preferably in a manufacturing environment.

Regard safety as a core value and be actively involved in safety initiatives.

High level of work capacity and ability to work at a fast pace. Demonstrated ability to manage multiple tasks simultaneously.

Excellent verbal, written and presentation skills.

Strong organization and time management skills.

Excellent skills in Google Workspace or Microsoft Office.

Ability and passion to build relationships and work with employees at all levels of the organization.

Strength in active listening. understanding concerns and taking action to solve problems.
