Position: Part Time— approximately 16 hours a week with a flexible schedule. Attend monthly Finance Meeting
Reports to: Senior Pastor and Finance Committee
Purpose: to oversee, in keeping with policies and procedures established by the Finance Committee, the fiscal management of the church including: the accurate recording of all gifts, the preparation of checks for necessary expenditures, the preparing of standard monthly financial reports; the preparing of end of the year financial statements and statements of giving.
Responsibilities Include (but are not limited to):
Financial Management
1. Record personal contributions of members and constituents.
2. Maintain chart of accounts on church accounting system.
3. Oversee and maintain integrity of monies given to both general and designated funds.
4. Oversee and maintain the accounting policies and procedures established by the Finance Committee.
5. Prepare checks for disbursement to pay: bills, apportionments, salaries, etc.
6. Submit check for signature by approved check signers.
7. Prepare the monthly financial statements needed: balance sheet, treasurers report, fund balance report,
Apportionment status report.
8. Record written pledges as received and provide statements of giving on quarterly basis.
9. Prepare the needed end-of-the-year reports.
10. Work with pastor and chair of finance committee in preparing annual budget.
11. Prepare payroll and tax payments; state and federal tax reports on a quarterly basis.
Relationship with Staff & Church Members
1. Request from staff all receipts for expenditures with explanation of line item for expense.
2. Provide personal giving information to church members upon request. Provide quarterly statements of giving.
3. Provide information to staff, upon request, regarding budgeted balances for their work area.
4. Provide information for appropriate staff regarding balances in designated funds.
5. Maintain confidentiality of giving records (information can be shared with senior pastor)
Physical Mental Emotional Physical
The financial assistant may have substantial periods of time working on the computer and needs to stay mentally alert. He/she must have the ability to receive directions and constructive criticism from supervisor and the ability to respond appropriately.
Required Meetings
The Financial Administrator is required to attend the Finance Committee meeting once a month to present financial reports and answer questions concerning the church finances. During the budget making process, attendance at additional meetings may be required.
Skills & Qualifications
CPA preferred. Must be knowledgeable in the use of computer software relevant to the keeping of financial records for the church. Must have a strong financial background.
