The Accounts Payable Specialist is primarily responsible for processing vendor payments within the required payment period by reviewing and entering invoices; preparing and distributing checks; and maintaining vendor files. The daily completion of these tasks requires a reliable attendance, thorough self-review, ability to work independently, data entry with speed and accuracy and proficiency in Microsoft Outlook and Excel.
Primary Job Functions:
· Reviews all invoices for appropriate documentation and approval prior to payment
· Enters all invoices into the Accounts Payable module
· Charge expenses to the correct accounts and cost centers
· Pay vendor timely
· Scheduling and preparing checks for payment
· Prints and obtains signatures on all accounts payable checks
· Distributes signed checks as required
· Answers all vendor inquiries
· Verify the accuracy of new vendors in the vendor database by reviewing the W-9
· Pays employees by receiving and verifying expense reports
· Verifies vendor accounts by reconciling monthly statements and related transactions
· 1099 preparation
· Maintains historical records by filing documents timely and accurately
· Protects organization's value by keeping information confidential
· Able to process at least 200 invoices per week
· Assists in monthly closings
· Identifies and resolves problems in a timely manner, gathers and analyzes information skillfully
· Prioritizes and plans work activities and uses time efficiently
· Demonstrates accuracy and thoroughness, monitors own work to ensure quality and applies feedback to improve
performance
· Meets productivity standards and completes work in a timely manner
· Performs other duties as needed
Requirements:
At least 2 years of office experience.
Experience working with Microsoft Office programs including Outlook, Excel and Word.
Must be detail oriented, self-motivated and well organized.
Capable of working in a fast-paced, changing environment.
Able to meet tight deadlines that are time sensitive with a high level of accuracy.
Able to work independently, as well as part of a team, and follow directions well with a high level of accuracy and
dedication.
Must be on time and reliable every day.
Effectively communicate, both verbally and in writing.
Well-developed organizational skills including the ability to multi task and manage time effectively.
