Job Summary

The Staff Accountant performs a variety of specialized and technical clerical accounting and bookkeeping functions. The primary duties are to support the accounts payable desk, general ledger accounting, account reconciliation and payroll processing functions. This position also serves as back-up to the Lead Staff Accountant.

Essential Duties, Responsibilities and Competencies

This position requires a high level of attention to detail with a low error rate, as the consequences of even a minor mistake can be detrimental as decisions may then be based on erroneous information. This position requires regular reliable attendance, ability to work without structure, work constructively in a team-based environment, identify problems without supervision and develop and present solutions to staff and management. This position also requires you to be flexible and adaptable in a highly changing environment.

1. Record, classify, and summarize financial transactions and events in accordance with Generally Accepted Account Principles (GAAP).

2. Ability to analyze figures, establish priorities and organize efficiently.

3. Verifies and posts details for business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.

4. Serves as backup and/or assists in daily cash drawer balancing, preparing deposits, download EFTs for billing department and approving remote deposits.

5. Serves as backup and/or assists in accounts payable processing. Audits invoices against purchase orders, reconciles, researches discrepancies, data entry and process for payment.

6. Reconciliation and data entry of daily accounts receivable transactions from the billing department. Data entry of daily cash deposits.

7. Performs banking functions including posting and depositing funds in accordance with company policy.

8. Maintains regular and detailed interaction with A/P, A/R, payroll and job cost functions for analytical and process support.

9. Reconciles monthly payroll GL accounts.

10. Reconciles payroll bank account monthly.

11. Processes company credit card reconciliation and coding in accordance with department procedures.

12. Serves as back-up and/or assists the Lead Accountant with preparation of month-end financials, including P&L budget and prior year comparison, balance sheet, cash flow, exam volumes and AR analysis.

13. Assists Lead Accountant on a monthly basis with duties as needed.

14. Prepare supporting documentation for audits and interact with internal and external auditors as needed.

15. Performs various ad-hoc projects with the ability to meet tight deadlines.

16. May be required to drive to make banking/accounting transactions. Must be insurable for driving through our company insurance carrier.

17. Maintains strict confidentiality related to Protected Employee Information. Adheres to State & Federal rules and regulations including HIPAA.

18. Assists employees and vendors by answering questions related to accounts and procedures. Communicates with co-workers, management, clients and others in a courteous and professional manner.

19. Performs additional duties as assigned by the supervisor.

Education and Experience

Accounting degree and three to five years related experience; or equivalent demonstrated experience in computerized accounting and payroll processing.

Current knowledge of accounting principles, rules & regulations, internal controls, policies and procedures.

Must have prior electronic payroll processing experience.

Strong MS Excel, MS Word, MS Outlook and report writing skills required.

Typical Physical Demands

Stationary position; must be able to remain in a stationary position 90% of the time. Move, traverse; occasionally move about inside the office to access office machinery etc. Use hands/fingers to handle or feel: Operate, activate, use, prepare, inspect, place, detect, position. Constantly operates a computer and other office productivity machinery, such as a phone, copy machine, computer and printer. Talk/hear: communicate, detect, converse with, discern, convey, express oneself, exchange information; Communicates via phone. Must be able to exchange accurate information. See: Detect, determine, perceive, identify, recognize, assess; Must be able to detect information on computer screen and other sources and grasp information. Exposure to work: Exposed, work around; constantly works in indoor conditions.
