Summary:

We are seeking a dynamic and experienced Office Manager to join our team at BendUp Metal, a growing metal fabrication shop here in beautiful Bend, Oregon. This person will oversee the day-to-day operations of our office. The Office Manager plays a pivotal role in ensuring smooth and efficient office procedures while also serving as the primary point of contact for our customers. This position offers an exciting opportunity to contribute to the growth and success of our company by managing various administrative tasks, supporting our team, and fostering positive relationships with customers and vendors. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment. You will be assigned various administrative tasks to ensure the smooth operation of the front desk.

Responsibilities:

Serve as the face of the company by greeting and assisting customers in person and over the phone with professionalism and courtesy.

Manage invoicing and billing processes using QuickBooks, ensuring accuracy and timeliness of all financial transactions.

Collaborate with the bookkeeper to accurately submit employee hours for payroll processing.

Maintain an active customer/vendor contact list.

Organize and maintain records of completed jobs, including saving photos and other relevant documentation for reference.

Assist in business development efforts by identifying opportunities to attract new customers and promote our services.

Take ownership of the company website and online postings, ensuring content is up-to-date and engaging.

Act as the Safety Manager, conducting monthly safety meetings and recording and posting meeting minutes, enforce safety protocols, and address any safety concerns.

Manage inventory of office supplies/shop supplies and purchase new supplies as needed.

Support the owner of the company with various administrative tasks and special projects as needed.

Answer incoming phone calls in a professional manner and direct calls to the appropriate staff members (take messages, if needed).

Maintain a clean and organized reception area, ensuring it reflects a professional image of the company.

Follow company procedures and protocols to ensure the security and confidentiality of sensitive information.

Requirements:

High school diploma or equivalent.

Proven experience in an office management or administrative role, preferably in a smaller industry.

Proficiency in QuickBooks or similar accounting software for invoicing and financial management.

Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines effectively.

Excellent communication and interpersonal skills, both written and verbal.

Familiarity with website management and basic understanding of online marketing strategies.

Knowledge of safety regulations and procedures in a manufacturing environment, with experience conducting safety meetings and enforcing compliance.

Ability to work independently with minimal supervision and adapt to changing priorities in fast-paced environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.

Detail-oriented mindset with a commitment to accuracy and attention to detail.

Proficiency in using phone systems and office equipment.

Reliable and punctual with a commitment to fulfilling scheduled shifts.

Ability to maintain composure and professionalism under pressure.

Flexibility.

Experience:

Bookkeeping, HR, QuickBooks, payroll, highly preferred but not required.

Experience working in a manufacturing environment helpful.
