Finance Assistant Job Description

General Duties

The Bend-Redmond Habitat for Humanity, Inc. (“BRHFH”) Finance Assistant is responsible for managing the accounts payable operations, providing support to the Finance Department, and ensuring that operations are conducted properly and efficiently. The Finance Assistant has knowledge and understanding of all aspects of financial operations. The Finance Assistant works under the direction and supervision of the Chief Financial Officer.

Education and Experience

Two year accounting degree or equivalent; four year accounting degree preferred.

Leadership experience. Knowledge and experience in social service operations and/or construction industry preferred.

Skills

Excellent writing and communication skills (including interpersonal communication).

Meticulously accurate bookkeeping skills with the ability to create and analyze reports, spreadsheets, and financial statistics; prepare and administer budgets.

Ability to work as part of a team and effectively communicate with supervisors, co-workers, volunteers, donors, and customers.

Highly collaborative, organized, detailed, and efficient. Strong work ethic and demonstrated conflict resolution skills. Ability to handle transactions accurately and responsibly.

Self-motivated and ability to work and properly perform job duties and responsibilities with minimal supervision and/or in stressful situations, and to complete tasks in a timely way.

Ability to plan, organize, and complete accounts payable cycle in a timely and accurate manner. Analyze situations accurately and adopt an effective course of action.

Ability and willingness to take direction and supervision from the Chief Financial Officer.

Ability to apply common sense understanding to complete written or oral instructions. Ability to deal with problems effectively and efficiently.

Exceptional integrity and honesty, with the ability to maintain confidentiality.

Working Conditions

Most work is performed indoors and at a desk

Requires valid driver’s license and must meet company’s insurance requirements; occasional driving

Some tasks involve working with volunteers and staff, while other tasks are performed independently and in a quiet setting

Mobility required as files, volunteers and staff are in various offices throughout the county

Remains in stationary positions for extended periods of time. Remains in a standing (and seated) position for extended periods of time. Sitting, standing, walking, reaching, twisting, turning, kneeling, bending, and squatting in the performance of daily activities. Grasping, repetitive hand movement, fine coordination in writing and using a computer keyboard.

Expressing or exchanging ideas by means of the spoken word to impart oral information.

Communicate (orally and in written form) detailed instructions to others accurately, loudly, and/or quickly.

Work involves perceiving the nature of sounds by ear. Work also involves having clarity of vision at various distances.

Varied work schedule.

Essential Functions

The essential duties and responsibilities of the Finance Assistant are varied, but a sample include, without limitation, those duties and responsibilities identified below:

Example of Duties

With the assistance of volunteers/other staff, review coding and enter approved invoices at least weekly; review vendor statements on a monthly basis and remedy account issues; and ensure vendor discounts are being taken

Work with vendors to negotiate better terms for BRHFH

Review invoices to eliminate payment of late fees, and realize discounts, as available

Initiate weekly check runs

Match invoices to checks with assistance of volunteers/staff

Distribute checks to vendors with assistance of volunteers/staff

Create and maintain vendor files

Process all automated and credit card transactions

Reconcile accounts payables on a monthly basis

Create manual checks from approved check requests

Coordinate account payable vendor information for annual workers compensation audit

Create required audit schedules and pull documents as required for annual audit

Produce and distribute annual 1099s to vendors and IRS

Oversee and administer organizational insurance program. Coordinate all Insurance claims and policies (auto, liability, workers comp, volunteers, accident, property, etc.)

Perform bank reconciliations on a monthly basis

Provide annual audit and 990 informational tax return donations schedules

Maintain property, plant and equipment schedules for acquisitions, sales and retirement of assets

Employment

The Finance Assistant is a non-exempt employee under state and federal laws. The employee will work on a part-time basis, with irregular work hours, including nights and weekends, as necessary or appropriate. The Finance Assistant is employed on an at-will basis.

The Chief Financial Officer, in consultation with the Executive Director, is responsible for reviewing and evaluating the Finance Assistant’s job performance.

If determined necessary or appropriate, Management may modify, supplement, revise, change, and/or delete all or any part(s) of this job description.
