Temp-Rite Mechanical is a growing HVAC/Refrigeration company in Central Oregon. We are looking for a highly skilled and detail-oriented Service Coordinator/Dispatcher to manage scheduling of jobs and optimize our technician schedules for HVAC services, while providing exceptional customer service.
KEY RESPONSIBILITIES:
Work directly with department managers and estimators to coordinate the dispatch schedule
for all technicians and installers for both commercial and residential jobs.
Scheduling technicians to jobs based on their skills, job types, and repair needs, ensuring an
efficient and optimized schedule each day.
Communicate daily with customers - always providing excellent customer service. Taking in
initial calls, updating customers on technician arrival times, informing them of delays, and
rescheduling appointments as needed are just a few of the multiple contacts with customers
each day.
Ability to make real-time adjustments to schedules in response to last-minute changes,
emergencies, or urgent customer needs, ensuring minimal disruption to service.
Ability to maintain accurate records on customer accounts, up-to-date status of jobs,
technician locations, and other items to ensure accuracy and efficiency daily.
Complete and close work orders, ensuring technicians close out of jobs each day.
Assist technicians in ordering parts and issuing POs as needed as well as tracking parts.
Assist technicians in preparing for upcoming jobs to help ensure they have all parts and/or
filters needed for the day.
Manage preventative maintenance agreements, schedules and supplies.
Additional responsibilities as needed which may include but not limited to supporting the office
administration team, answering phones, processing warranties, data entry, and receiving
freight.
REQUIREMENTS:
Excellent communication skills, both written and verbal.
Strong organizational, time-management, and multitasking skills.
Ability to prioritize tasks and adjust quickly in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with Dispatch and Customer Relationship Management (CRM) software.
Exceptional customer service skills.
Good attitude and work ethic.
High School diploma or GED.
2 years plus of experience in dispatching, scheduling, and a customer service role
(HVAC experience is a plus).
A team player with the ability to collaborate effectively across departments.
Pass pre-employment drug screen and background check.
