Job Title: Bookkeeper / Office Manager

Job Summary:

We’re looking for a detail-oriented Bookkeeper/Office Manager to handle day-to-day accounting functions and keep the office running smoothly. This role is perfect for someone who enjoys balancing administrative support with hands-on bookkeeping responsibilities.

Key Responsibilities

Daily Tasks

Open, date-stamp, and distribute incoming mail

Answer incoming phone calls and direct callers to the appropriate team member

Enter new Accounts Payable invoices

Prepare and print checks for invoices due that day

Type and process material purchase orders, order acknowledgments, and shipping documents

Complete bank deposits as needed

Calculate, type, and process customer invoices

Monthly Tasks

Process payroll and prepare payroll checks

Verify and apply costing to finished goods inventory

Send month-end AP/AR reports to management and accountant

Send bank statements to management and accountant

Quarterly Tasks

Calculate Oregon Corporate Activity Tax (CAT Tax), file, and submit payments

Make quarterly state and federal tax deposits in coordination with the accountant

Annual Tasks

Prepare and mail W-2s

Prepare, print, and mail 1099s; order forms in early December

Qualifications

Experience in bookkeeping, accounting, or office management preferred

Strong attention to detail and accuracy

Comfortable handling confidential information

Proficiency with standard office and accounting software

Strong communication and organizational skills
