INTO Oregon State University (INTO OSU) is a 50/50 partnership between INTO University Partnerships and Oregon State University. The partnership was established in 2008 to help drive the University's internationalization agenda with the intent of raising its brand and profile, establishing itself as an international research-intensive university and transforming the profile of its international student body as well as enhancing the overall student experience. The partnership established and operates a campus-based state-of-the-art international pathway center that currently serves more than 800 international students in a variety of academic and English language programs.

Job overview

The HR Assistant will provide administrative support in the area of Human Resources, and will have access to employee confidential information and other sensitive information and will need to exercise good judgment and discretion in the performance of job duties. This position will assist search committees, be the first point of contact for newly hired employees, enter employment information in the HRIS system, and keep organized personal records. The HR Assistant acts on behalf Human Resources Manager when providing or receiving information, when scheduling and arranging appointments, meetings, and conferences, and when performing special projects or assignments. The HR Office Assistant may deal with sensitive issues which require confidentiality, and the individuals involved must be handled with tact, diplomacy and a solid understanding of FERPA regulations. College students enrolled in a degree program with an emphasis in Human Resources are encouraged to apply.

Essential Duties and Responsibilities

• Assist with the recruitment process: create job ads, on-line postings, and provide administrative assistance to search committees

• Assist with the new hire process: request ID's, new employee orientation, assist employees completing the I-9 and other new hire employment forms, review dress code, and employee handbook

• Process background checks

• Complete data processing in the HRIS system

• Assist with maintaining all personnel records

• Coordinate staff moves

• Responsible for issuing building keys and key slips, and maintaining data base for key coordination

• Set-up and termination of employee accounts within the INTO and the OSU systems

• Manage phones; submitting request for employee desk phone coordination; cell phone coordination; ordering phones, international calling and reconciliation of billing

• Provide excellent public relations and customer service, representing INTO OSU

• Other duties as assigned: Given the dynamic environment of the INTO OSU Center and our mission to provide exceptional service to our internal and external customers, additional duties and responsibilities, other than those listed in this job description, may be assigned from time to time at our request

Minimum Qualifications (Skills, Knowledge and Experience)

• Associate's Degree or equivalent combination of education and experience

• Three months relevant work experience

• Strong attention to detail

• Excellent data processing skills

• Excellent customer service, interpersonal, oral, and written communication skills

• Highly organized

• Basic undertanding of accouting or experience audititing billing

• Strong computer and electronic communication literacy, including excel and Outlook

• Demonstrated ability to work in a highly collaborative, team-oriented environment

• Ability to help others from diverse cultures who have various levels of English proficiency

• Applicant must pass a background check and have the ability to be legally employed in the US.

Salary

This is a regular part-time position, with an hourly rate of $13.00. Hours will vary based on need 10 - 20 hours a week, must be available to work on site during regular business hours (8:00 am to 5:00 pm).
