Purpose: The Senior Operations Assistant provides high-level administrative and operational support to the Director of Operations, serving as a trusted delegate in managing emergency response, interdepartmental coordination, scheduling, and communication. This role is responsible for triaging building emergencies, initiating safety protocols, coaching department staff on district procedures, and representing the Director in high-stakes and confidential interactions. The position supports the continuity of district operations while enabling the Director to focus on strategic leadership priorities.

Hours: 8 hours per day

Schedule: Monday - Friday

Contract Status: Regular/Probationary

FLSA Status: Non-exempt - Classified

Start Date: As Soon As Possible

Calendar: 260 Work Days

Rate: $29.06 with benefits

Retirement Contribution: Corvallis School District participates in the Oregon Public Employee Retirement System (PERS and OPSRP) on behalf of its employees. Upon eligibility, the district contributes 6% of an employee’s salary to their Individual Account Program (IAP). Eligibility is defined as working at least six full calendar months in a qualifying position. Part-time employees working at least six months and 600 hours in a calendar year will qualify.

Distinguishing Characteristics:

This position is distinguished from other administrative support roles by its district-level scope, discretion in handling time-sensitive or emergency matters, and consistent engagement with school principals, district leadership, and external agency partners. While not supervisory, the Senior Operations Assistant provides guidance and procedural coaching to other staff and functions independently in fast-paced and high-stakes situations.

Essential Duties and Responsibilities:

Administrative & Scheduling Support

Manage the Director’s calendar with independent judgment, prioritizing high-level meetings, adjusting for urgent needs, and coordinating with internal and external stakeholders.

Prepare meeting materials, take follow-up actions, and maintain documentation on behalf of the Director.

Serve as the Director’s delegate in responding to emails, calls, and scheduling inquiries, using sound discretion and professionalism.

Emergency Response & Operational Triage

Receive and respond to urgent calls and messages from schools and departments regarding building emergencies, operational disruptions, and safety issues.

Assess the nature of the incident, initiate appropriate protocols, and contact relevant personnel or agencies (e.g., law enforcement, facilities, transportation) without immediate direction.

Maintain calm and professionalism in stressful situations and ensure accurate and timely information is relayed to decision-makers.

Safety Protocol Support

Act as a lead support to the Director in initiating district safety protocols and policies, and assisting site staff in following proper procedures.

Maintain a working knowledge of the district’s emergency and safety response systems.

Facilitate communication between schools, district administration, and external first responders during incidents.

Staff and Leadership Engagement

Communicate regularly with building principals, department leaders, and district cabinet members on behalf of the Director.

Represent the Director in scheduling, relaying priorities, and providing procedural guidance aligned with district expectations.

Support engagement with partner agencies, including city, county, and contracted service providers, maintaining a professional and responsive tone in all interactions.

Employee Coaching & Guidance

Provide direction and policy clarification to Operations Department staff and school administrators regarding district procedures.

Assist the Director in supporting consistency in operational practices across schools and departments.

Serve as a knowledgeable resource for onboarding, training, or mentoring administrative support staff when needed.

Communication & Confidentiality

Draft and manage communications on behalf of the Director, ensuring accuracy, tone, and alignment with district policies.

Handle confidential materials and sensitive issues with the utmost discretion and professionalism.

Maintain trust and clear communication channels with all levels of staff and leadership.

Additional Responsibilities

Support special projects and district initiatives assigned by the Director of Operations.

Attend and document meetings, follow up on assigned actions, and ensure timely execution of operational needs.

Provide general administrative support and coverage in the absence of key operational or administrative staff as assigned.

Experience with developing and managing budgets, tracking expenditures, and maintaining fiscal accountability.

Ability to read and interpret collective bargaining agreements, policies, administrative rules, and related documents.

Ability to lead, plan, organize, and delegate tasks, while directing the work of office staff or students as needed.

Ability to obtain specialized training as needed to meet district requirements.

Ability to travel between district facilities, as needed; if driving, must meet district driving standards.

Standard First Aid certification, or ability to obtain certification within two months of hire.

Education and Experience:

High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

At least 5 years of progressively responsible administrative or operations support experience, preferably in a K-12 public school setting.

Experience supporting department- or district-level leadership strongly preferred.
