Emerald Excavating, established in 1962, is a family-owned excavation company based in Eugene, OR and serving all of Lane County. We specialize in commercial and residential site prep / earthwork, septic systems, and material hauling. We are currently seeking a Bookkeeper/Admin Specialist with 5 years or more of experience in a construction environment to join our team full-time, onsite in Eugene.

Full-time, ONSITE, Monday to Friday, 8am-430pm

In this position, you will work directly with company owners, recording accounting transactions in Quickbooks, preparing customer invoices, entering and paying bills, processing payroll, reconciling bank and credit card accounts, maintaining employee files, and other administrative duties required to keep the company operating smoothly.

Primary Duties & Responsibilities:

+Financial records management

- Entering estimates and progress billing for customer jobs

- Preparing customer statements, applying payments

- Applying bills to appropriate jobs for costing, paying bills

- Reconciliation of monthly bank and credit card statements

+ Payroll & benefits administration

- Prepare payroll using Quickbooks payroll (time keeping and processing)

- Manage processing and payment of employment taxes & benefits (health insurance, dental insurance, SIMPLE IRA)

- Prefer experience with Prevailing Wage reporting and record keeping

+Human resources management

- Manage employee records retention including employment files, medical cards, onboarding paperwork, drug-testing, etc.

+ Admin

- Ensure licenses like CCB, DEQ, Vehicle Registration, and others, are current

- Prepare and file ODOT, HVUT reports as necessary

- Manage Information Technology (IT) using third-party firm

Qualifications:

+ Minimum 5 years of experience as Bookkeeper/Admin preferably in a construction environment

+ Experience with Quickbooks Contractor Edition for Job Costing and Payroll Processing

+ Good communication skills for interactions with managers, employees, customers, and vendors

+ Proficient in Microsoft Office including Excel, Outlook, and Word
