Job Title: Project CoordinatorJob DescriptionThe Project Coordinator will establish and maintain healthy and positive relationships with employees, clients, vendors, and contractors. This role requires effective communication and coordination with internal team members and external clients. The Project Coordinator will organize project data and oversee project document control for accurate and timely retrieval, distribution, and storage of engineering drawings and documents, as well as vendor and client information. Additionally, the Project Coordinator will review and issue project meeting minutes, action items list, drawing packages, RFIs, submittals, scopes of work, estimates, and field instructions. Other responsibilities include updating databases, creating transmittals, processing vendor data, filing in SharePoint including pertinent metadata, and creating BlueBeam sessions. The Project Coordinator will also support multiple projects and office operations simultaneously, provide office management support, and ensure quality control in writing and editing various documents. Scheduling appointments, coordinating meetings, and travel arrangements are also part of the role.Responsibilities

Establish and maintain healthy and positive relationships with employees, clients, vendors, and contractors.

Communicate and coordinate effectively with internal team members and external clients.

Organize project data and oversee project document control for accurate and timely retrieval, distribution, and storage of engineering drawings and documents, and vendor and client information.

Review and issue project meeting minutes, action items list, drawing packages, RFIs, submittals, scopes of work, estimates, and field instructions.

Update databases, create transmittals, process vendor data, filing in SharePoint including pertinent metadata, and creating BlueBeam sessions.

Support multiple projects and office operations simultaneously.

Provide office management support by managing office supplies, submitting work orders for office maintenance and equipment repairs, front desk support, greeting and escorting visitors, collating and distributing mail, and maintaining electronic filing systems.

Ensure quality control in writing and editing memos, emails, invoices, reports, and other correspondence.

Schedule appointments and coordinate meetings and travel.

Essential Skills

Demonstrated proficiency in Microsoft 365 Suite including Teams, Outlook, SharePoint, and OneDrive.

Proficiency preferred in Bluebeam, AutoDesk Build, and Deltek Ajera with the ability to quickly learn new software and applications.

Strong organizational, problem-solving, and research skills with acute attention to detail.

Effective verbal and written communication skills and ability to handle confidential information.

Ability to thrive in a dynamic environment, meet set deadlines, and adapt to changing priorities.

Prefer 2+ years of related experience, BA or BS preferred.

Collaborative, team-oriented attitude, strong work ethic, and creative problem-solving skills.

Additional Skills & Qualifications

Experience in project coordination, administration, and document control.

Ability to schedule meetings and provide administrative support.

Knowledge of construction administration, project administration, and handling RFIs.

Experience with Microsoft Office and construction documentation.
