Temporary Clerical Specialist

SUMMARY OF POSITION

Provides clerical support and back-up reception duties for the Senior and Disability Services program, serving

primarily the Lincoln County area. This is a 4 month contract.

90 % ESSENTIAL JOB DUTIES

Performs position duties in a manner, which promotes customer service and harmonious working relationships,

including treating all persons courteously and respectfully. Engages in effective team participation through

willingness to assist and support co-workers, supervisors, and other work related-associations. Develops good

working relationships with division and agency staff and supervisors through active participation in

accomplishing group projects and in identifying and resolving problems in a constructive manner.

Demonstrates openness of constructive feedback and suggestions, to strengthen work performance. Contributes

to a positive, respectful and productive work atmosphere. Regular attendance is required to meet the demands

of this job and to provide necessary services.

Assist with walk-in and multi-line telephone reception for the Toledo Office.

Processes paperwork associated with licensing foster homes within Lincoln County, as assigned.

Provides clerical support for Protective Services.

Assists customers with the use of resource material and equipment.

Maintains financial management systems, including special cash payments, and bus tickets.

Assists with opening, date stamping, and distributing mail incoming and outgoing mail as necessary.

Maintains administrative files/records.

Assists with ordering additional supplies as needed.

Processes transfer case files and maintains appropriate log.

Receipt in checks/monies received by mail or person.

Process and issues EBT cards; both in person and through the mail.

Sets up the conference room for videoconferencing, meetings and trainings.

LAE for computer questions and problems.

Ability to recognize and defuse hostile clients in the workplace.

Knowledge, Skills and Abilities

Knowledge of confidentiality rules regarding client and provider records, including HIPAA regulations;

Knowledge of, and ability to operate, a personal computer;

Knowledge of, and experience in, Microsoft software;

Knowledge of general office practices;

Knowledge of spelling and business grammar;

Knowledge of and ability to use state terminal system;

Ability to operate a variety of standard office machines;

Ability to operate a multi-line telephone system;

Ability to effectively communicate, both orally and in writing;

Ability to work independently and effectively handle multiple tasks, paying attention to detail;

Ability to type accurately at 50 wpm;

Ability to understand and follow oral and written instructions;

Skills in performing detailed and complex clerical tasks.
