Position Summary
We are seeking a detail-oriented and dependable Staff Accountant to join our growing team. The Staff Accountant will support monthly bookkeeping, reconciliations, and financial reporting across multiple client entities in industries such as craft food, beverage, hospitality, and small business services. This role requires a proactive approach, strong communication skills, and the ability to manage multiple client accounts in a fast-paced, deadline-driven environment.
Key Responsibilities
Perform monthly bookkeeping for assigned clients, including posting transactions, reviewing coding, and reconciling all bank, credit card, and loan accounts.
Prepare and post journal entries, accruals, and adjusting entries for period-end close.
Maintain and reconcile intercompany due-to/from and funds-in-transit (FIT) accounts across multi-entity structures.
Review AP and AR aging reports, assist with vendor management, and ensure accuracy of client payables and receivables.
Ensure all transactions are properly supported and categorized per client chart of accounts and class structure.
Coordinate with payroll processors (e.g., ADP, Paychex, Gusto) to ensure payroll entries, taxes, and benefits are properly recorded.
Assist with sales tax, CAT/B&O tax, and other state-level compliance filings.
Collaborate with senior staff and client CPAs on year-end reconciliations, trial balance reviews, and financial reporting packages.
Maintain consistent communication with clients to address questions, provide updates, and ensure timely document submission.
Follow established workflows in our project management software, ensuring tasks are completed accurately and on schedule.
Identify discrepancies, recommend process improvements, and uphold our standard of accuracy and transparency.
Qualifications
Bachelor’s degree in Accounting, Finance, or a related field (or equivalent practical experience).
2+ years of bookkeeping or accounting experience, preferably in a multi-entity or client-based environment.
Advanced proficiency in QuickBooks Online (QBO); QuickBooks certification a plus.
Proficient in Microsoft Excel and Google Sheets.
Excellent attention to detail, organization, and follow-through.
Strong understanding of GAAP and double-entry accounting principles.
Ability to work independently, prioritize effectively, and meet tight deadlines.
Clear and professional written and verbal communication skills.
Preferred Skills & Experience
Experience with hospitality, brewery, or craft food/beverage clients.
Familiarity with systems like Toast, Square, Shopify, Stripe, and Distill X5.
Understanding of payroll tax compliance and state business tax filings (Oregon and Washington preferred).
Experience supporting multiple entities and managing intercompany transactions.
Comfort working in a small, collaborative team environment with shared accountability.
