Tonkon Torp LLP, a full-service business law firm, is seeking a motivated and detail-oriented Immigration Team Assistant to support our busy Immigration Practice Group. This in-office role is ideal for someone starting their legal career and eager to gain hands-on experience in a fast-paced, professional environment. This role requires in-person attendance at our office in downtown Portland.

As an Immigration Team Assistant, you will support attorneys and legal staff by managing essential administrative functions and assisting with overflow tasks. Responsibilities include:

Provide assistance as requested to members of the team

Process incoming/outgoing mail, and maintain client files

Download and save documents received from clients in client files

Research and save documentation from internet to client files as requested

Operate standard office equipment: photocopiers/scanners, computers, etc.

Assist with attorney billing process, credit card statements, and check requests

Other duties as assigned, including typing attorney edits to letters and forms, and printing documents (to paper and/or .pdf files)

The ideal candidate is organized, dependable, and eager to learn. Key qualifications include:

Organization skills with demonstrated ability to prioritize work, meet deadlines, solve problems, and take initiative

Excellent written and verbal communication skills

Skills in maintaining and organizing case files and other documents according to established guidelines and procedures

Ability to work independently as well as part of a team

Strong attention to detail and accuracy, including ability to proofread material for contextual, grammatical, typographical, and spelling errors

Working knowledge of Windows-based environment, including but not limited to Microsoft Office, Word, Excel, and Adobe Acrobat
