ABOUT THE PIXIE PROJECT

The Pixie Project, a growing non-profit animal rescue, is looking to add a Full-Time Administrative Assistant to our team! We’re looking for someone with strong organizational and communication skills who can greet visitors at our door and offer direct administrative support to our Executive Director. No animal experience required—we’re looking for someone to help manage the emails, phone calls, and paperwork generated by the adoption program, to make sure all inquiries are answered, and to relay information between our adoption teams, kennel staff, and the public.

BASIC JOB FUNCTIONS

Working closely with the Executive Director and colleagues in a collaborative way that facilitates communication between Pixie staff, volunteers, and the public.

Answering the door, greeting visitors, and directing them to the appropriate person.

Preparing the daily calendar and office for the day’s activities.

Answering phone calls, emails, and other correspondence as directed.

Organizing and processing incoming and outgoing mail.

Creating, collecting, and organizing records across several software platforms.

Processing payments for clinic services and donations.

Handling paperwork and communications for shelter and clinic appointments.

Performing other duties as assigned.

DESIRED SKILLS + EXPERIENCE

Prior experience working with animals or in a front desk setting can be helpful but is not required. More important to us is finding someone with a positive attitude, strong work ethic, and willingness to learn. Other key skills/qualities for the Administrative Assistant position include:

Excellent communication skills, in person, over the phone, and via email.

Highly organized. Because organizing calendars, data, and records is an essential function of your job, being able to manage and store lots of information is vital to the role.

Attention to detail. The ideal candidate will bring a strong sense of responsibility to their work, including taking necessary actions to ensure details are spotted and attended to.

Ability to stay focused. An animal shelter can be a loud and busy environment, and you will often have multiple demands on your time and attention.

Strong customer service skills. You will need to communicate with clients about timelines and the services we can provide.

Comfortable working around cats and dogs of varying ages, health statuses, and temperaments. Your work will primarily be on the phone and computer, but you will need to be comfortable working in a shelter environment.

JOB REQUIREMENTS

This position requires near constant operation of a computer and other office machinery and frequent movement about the office to access file cabinets, copier, etc. This person will frequently communicate with members of the public about clinic services over the phone and email and must be able to exchange accurate information in these situations.

Age: 18+

Must be fully vaccinated for COVID-19

SCHEDULE + PAY RATE

This is a 38-hour per week full-time position. Admin Assistants work during Pixie’s open hours, Tuesday-Friday 10am-6pm and Saturdays from 10am-4pm.

The starting pay rate for this position is $20/hour.
