Description We are in search of an Administrative Assistant to join our team in the Housing Association industry in the Lehigh Valley. This role involves an array of administrative tasks within our occupancy and tenant relations programs. This position provides a unique opportunity to transition into a contract-to-hire employment and contribute to the efficient operation of our office.Responsibilities: Process and manage tenant files in accordance with HUD requirements, ensuring accurate record keeping Handle landlord and tenant complaints or issues effectively and professionally Assist in the collection, analysis, and evaluation of statistical data for use in planning and administering programs Perform briefings on program requirements for tenants both individually and in groups, ensuring clear communication of expectations Assist with lease signing and other routine office procedures as required Greet and assist visitors to the office, providing high-quality customer service Perform interim and annual recertification of program participants and adjust tenant rents, verifying income for any changes in employment or family composition Interview new tenants and assist in processing all necessary forms, maintaining a high level of accuracy and efficiency Use computer skills to prepare correspondence, handle incoming telephone calls from tenants, landlords, and various social service agencies Assist in the performance of a wide variety of tasks in administration, occupancy, and tenant selection Assist in the analysis of fiscal data and in the examination of records and procedures for adherence to laws, regulations, and procedures pertaining to housing authorities.Requirements Possess strong skills in Bulk Mailings, ensuring efficient communication and distribution of documents. Proficient in operating Switchboard Phones (1-10 lines), managing incoming and outgoing calls effectively. Excellent administrative skills, including the ability to organize, prioritize, and manage multiple tasks efficiently. Strong interpersonal and communication skills, both written and verbal, to interact effectively with tenants, staff, and other stakeholders. Ability to handle sensitive and confidential information with discretion. Proficient in the use of MS Office Suite and other relevant software for effective administrative work.
