Position Overview:
The Administrative Manager at Silver Academy plays a critical role in ensuring the smooth operation of the school's administrative functions. This position requires a highly organized and detail-oriented individual who can manage multiple tasks, communicate effectively with staff, students, and parents, and maintain a welcoming environment. The Administrative Assistant will support the Head of School and other administrative staff in executing various clerical and administrative tasks.
Key Responsibilities:
-General Administrative Support:
Manage the front office, greeting visitors and answering phone calls with professionalism and courtesy.
Handle incoming and outgoing mail, including distribution to the appropriate parties.
Maintain the school's filing systems, both physical and electronic.
Prepare and edit correspondence, reports, and other documents as required.
-Scheduling and Coordination:
Coordinate logistics for school events, including meetings, assemblies, and special programs.
Maintain and update school calendars, ensuring accurate scheduling of activities.
-Communication:
Serve as a primary point of contact for parents, students, and staff, addressing inquiries and providing information.
Assist in drafting and distributing school communications, including newsletters, emails, and announcements.
-Record Keeping and Data Management:
Maintain accurate student and staff records, including attendance, enrollment, and other essential information.
Assist in managing and updating the school's database and information systems.
-Office Supplies and Inventory:
Monitor and manage office supplies, placing orders as necessary to ensure the office is well-stocked.
Maintain an inventory of school supplies and equipment, coordinating repairs and replacements as needed.
Support for School Operations:
Assist with student arrival and dismissal procedures.
Support the coordination of substitute teachers and ensure they have the necessary materials and information.
Provide support for various school projects and initiatives as assigned by the Head of School.
Qualifications:
Proven experience as an administrative assistant, secretary, or office manager.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
Ability to work independently and as part of a team in a fast-paced environment.
Familiarity with school operations and educational environments is a plus.
Strong interpersonal skills, with a positive and professional demeanor.
