General Summary:

The Parts Manager is responsible for ensuring an effective and profitable operation of the Parts Department, supervise the parts staff and maintain high levels of customer satisfaction within the dealership and with vendors, while following policies and procedures.

Essential Duties and Responsibilities:

Assists parts personnel in handling customers and service technicians in a timely and professional manner. Supports and maintains sales action plans that develop parts business for the dealership.

Oversees the parts ordering process (stock/overnight for manufacturer ordering and providing alternative sourcing for aftermarket or non OE Parts when needed)

Manages the "checking in" of parts to ensure receipt of all parts ordered and tasking the process to review backordered parts.

Communicates with the service technicians and customers when parts are unavailable or backordered and provide ETA for these parts.

Continually monitors and maintains the parts delivery system. Makes recommendations for improvements that can be made.

Supervises and monitors parts returns (ordered in error, scrap).

Promotes a sense of teamwork and be a team player to add to the overall success of the dealership.

Works with parts advisors to design and maintain an efficient parts department layout (shelving, organization, bins, etc).

Maintains strong relationships with dealership customers to ensure high levels of customer satisfaction and reorder business.

Ensures that customer complaints, inconveniences and misunderstandings are dealt with fairly and quickly.

Conducts administrative tasks that support the dealership part sales and operations objectives.

Performs administrative duties and maintains records in a timely manner (including but not limited to sales records, monthly reports and internal communications).

Participates in training sessions/activities regarding supervision skills and to maintain proficiency in all parts and customer information.

Assists parts advisors in all phases of their job duties

Ensures parts department employees follow safety policies and practices and that they report any and all accidents immediately

Documents and reviews employee behavior.

Understands and complies with federal, state and local regulations that affect parts operations, such as hazardous waste disposal, OSHA right-to-know act, etc.

Other duties as assigned.

Required Knowledge, Skills, and Abilities:

Demonstrated customer service skills

Knowledge of computers and Microsoft software products.

Knowledge of automotive parts delivery systems.

Knowledge of basic math.

Knowledge and the ability to utilize good listening skills.

Ability to oversee work assignments and/or coordinate, monitor and evaluate the work of staff.

Ability to be analytical, problem solve and multi-task

Ability to make decisions and take necessary actions.

Ability to manage a team, motivate and develop

Ability to develop and maintain effective working relationships with others.

Ability to use a variety of office equipment i.e. phones, photocopiers, facsimile, and printers.

Ability to take initiative and follow through.

Ability to read and comprehend instructions written in English.

Ability to write legibly in English in a clear, concise, and logical manner.

Ability to speak clearly and express self effectively in English.

Ability to organize, establish priorities, multitask, work with minimal supervision and meet deadlines.

Ability to effectively manage multiple responsibilities.

Ability to problem solve, use good judgement, accuracy, and make logical decisions.

Minimum Education, Credentials, and Experience:

High school diploma or equivalency and five (5) years of automotive Parts Advisor experience which includes one (1) year of supervisory experience;

Or

Any equivalent combination of training and experience.
