The Clerical Technician 2 Receptionist is responsible for fulfilling the duties of the reception desk in the Gracedale Nursing Home lobby. This is the first and most important line of public contact for the nursing home, providing assistance to residents, visitors, and callers in a friendly and helpful manner, while efficiently performing clerical functions in support of the Business Office.SUPERVISION RECEIVED

This position is not responsible for the supervision of other employees or functions.
ESSENTIAL DUTIES OF THE POSITION
Director of First Impressions - greets guests in a professional, friendly, and hospitable manner. Answers routine questions from employees, residents, and visitors, or directs to appropriate staff when necessary.Provides exceptional, friendly, and professional customer service by effectively communicating with both internal and external customers via telephone, email, or in person.Provides accurate facility directions for visitors to reach residents, staff, and department locations.Manages phone system and incoming call flow for Gracedale Nursing Home, managing and maintaining general voicemail messages.Strong ability to perform well and be unfailingly diplomatic in a high pressure and complex environment.Receives, sorts, and distributes all facility and resident mail to appropriate parties in accordance with facility policies and regulations.Posts all outgoing facility mail.Accepts over the counter cash receipts and provides receipts for payments.Operates Resident Bank daily during posted hours of operation.Makes public announcements over intercom system to facility population as necessary.Maintains active and archived resident filing system. Reviews for completeness of file contents. Keeps files neat and orderly. Boxes files for archive storage, moving boxes to the storage room. Moves death and discharge files from office file cabinets to storage room file cabinets.Performs clerical functions in support of the Business Office including, but not limited to: filing, spreadsheet data entry, preparation and distribution of daily/monthly reports, mass mailings, copying, digitizing, faxing, and other clerical duties as assigned.Understands and demonstrates required discretion with regard to Resident Rights and HIPPA regulations.May perform routine COVID-19 visitor screenings, which might include disinfecting work areas and high touch surfaces in the reception area, collecting visitor surveys, taking temperature readings, and other duties as directed by Administration.An employee assigned to this title shall perform a majority, but may not perform all, of the duties listed in this job description. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.REQUIRED MINIMUM QUALIFICATIONSEDUCATION & EXPERIENCE- Completion of a high school, or general equivalency, diploma;ANDAt least one (1) year of general clerical work experience involving a high level of customer service.OTHER REQUIREMENTS- Applicants must be fully vaccinated against COVID-19, and present valid proof of vaccinated status, in order to be eligible for hire at Gracedale Nursing Home. According to the Center for Disease Control (CDC), people are considered fully vaccinated two (2) weeks after their second dose in a 2-dose series (such as Pfizer or Moderna vaccines), or two (2) weeks after a single-dose vaccine (such as John on & Johnson's Janssen vaccine).Upon hire employee must have a drug screening and COVID-19 testing. Employees may also be periodically tested for COVID-19 as required or recommended. In addition, Gracedale Nursing Home will follow The Centers for Medicare & Medicaid Services (CMS) requirements with regard to booster(s) needed for workers in health care settings.KNOWLEDGE, SKILLS, AND ABILITIES
Basic knowledge of clerical practices and procedures, and the ability to use standard office equipment.Basic knowledge of computers and computer software, including Microsoft Office applications. Excellent communication and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain mutual comfort level while relating to a diverse clientele, both verbally and in writing.Skill in gathering information from and providing answers to visitors, callers, vendors, residents, members of the public, and representatives from other offices both within and outside of Gracedale Nursing Home.Excellent time management, prioritization, and multitasking skills, along with the ability to maintain sufficient flexibility to respond to immediate demands.Ability to learn to utilize the necessary software specific to Gracedale Nursing Home.Ability to establish and maintain filing and other recordkeeping systems.Ability to preserve confidential and sensitive information.Ability to maintain composure and tactfully handle sensitive situations.Ability to establish and maintain working relationships with associates, other facility staff, residents, and their visitors.Ability to read, write, speak, understand, and communicate in English to perform the duties of this position.
