Office Manager

The Position:

Both Phoenix Tax and Bala Financial are operated from the same location. We are looking for an experienced, technically inclined Office Manager to add to our administrative team.

The successful applicant will be reliable and hard working with extreme attention to detail, a client focused attitude, and the ability to see the big picture and how their role contributes to the overall success of our firm. An impressive ability to multi-task, the desire to be proactive, an upbeat personality, and excellent computer and phone skills are a must. Thriving under pressure is a necessity.

Some job tasks include:

Overseeing general and back office operation and overall look and feel

Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers.

Coordinating a heavy volume of appointments and meetings and managing multiple staff calendars and schedules

Setting and managing office procedures

Delegating assignments to ensure maximum productivity

Coordinating domestic and international travel, including flight, hotel, and car rental reservations

Creating and executing workflows in our CRM for enhanced team communication

Heavy volume of mail and overnight packages.

Producing reports, composing correspondence, and drafting new contracts

Creating presentations and other management-level reports

Organizing client events

Assisting the owner with additional projects including personal assistant duties

Qualifications:

Previous experience in administrative services; tax or financial services office experience a plus

Strong organizational skills and attention to detail

Ability to prioritize and multi-task

Deadline and detail oriented

Strong leadership qualities

Bookkeeping knowledge helpful

Ability to create reports using Excel or Sheets using formulas and pivot tables

Please note, our office is two stories and the position will require climbing stairs while carrying supplies, often multiple times a day.

Job Type: Full-time

Salary: $22 - $25 per hour

Expected hours: 40 – 45 per week
