The Federal Reserve Bank of Philadelphia serves eastern and central Pennsylvania, southern New Jersey, and Delaware.Job Summary:The Audit Department assists the Bank’s Board of Directors and senior management in the effective discharge of their responsibilities by assessing the adequacy and effectiveness of controls within Bank business areas over financial reporting and other critical operations, effectiveness and efficiency of operations, compliance with policies, procedures, laws and regulations, and the adequacy of the Bank’s risk management and governance processes. Under minimal supervision, provide both administrative and analytical support to the department while working with department officers on executive level confidential and time sensitive matters. Generate reports and handle multiple moderately complex projects while working in a deadline driven environment. Help compile the annual audit plan.What You Will Do:

You will be the executive assistant to the General Auditor and Assistant General Auditor.

Coordinate and gather data for Audit Committee and Board of Governors reporting.

Perform research and analysis needed to respond to surveys and requests for information, including the Conference of General Auditors and other District, System, and external requests.

Conduct business planning analysis and help develop the budget and analyzing actual performance against plans.

Contribute to the department`s goals and quality assurance program.

Conduct analysis of department data and prepare management monitoring reports.

Verify and analyze System audit community metrics.

Compile status information for reporting on objectives and related deliverables.

Provide training to new employees and to others on administrative processes and controls and technology.

Coordinate department level Workday responsibilities including weekly time reporting.

Verify and analyze monthly expenses.

Maintain office supply inventory and ensure office equipment is maintained in good working order.

Be a central purchaser for the department using purchase card and verifying invoices to goods/services received.

Use the Bank`s different applications to process requests regarding facilities, cafeteria, graphics, travel, and meeting space.

Work with Department management, staff, and guests on event, catering, and access arrangements.

Help with fixed asset reports and reconciliations.

Assist others in handling additional Bank control processes.

Provide administrative and analytical support to engagements, follow-up, and competency centers.

Compile important business indicators and information on audit findings.

Help comply with records retention requirements for electronic and physical files.

Administer the department`s C-Notes and SharePoint sites and other central sources of information/collaboration including audit specific technology.

Help develop and maintain department policies and procedures.

Contribute content, editing, and formatting to department written communications.

Handle central administrative support tasks for the department such as directing visitors, distributing mail, and activities related to onboarding and offboarding department staff.

Maintain the department`s calendar and central files (electronic and hardcopy) to include records such as personnel files.

Handle the administration and logistics for department events including scheduling department-wide meetings, and coordination and distribution of materials.

Represent the Audit department on System and Bank workgroups contributing to the deliverables based on assignments.

Overarching Responsibilities:

Maintain compliance with Global Internal Audit Standards and The Institute of Internal Auditors Code of Ethics.

Comply with all other relevant department, Bank, and System policies and requirements.

Identify other responsibilities to further the department`s mission and personal professional development as identified and approved.

Be a valued advisor by establishing and maintaining working relationships with business area management, auditees, and external parties.

Fulfill job duties and responsibilities in conformance with sound safety practices.

What You Have:Education and Experience :Bachelor`s degree or Associate's degree preferred; minimum of 3 years of experience in a similar environment with demonstrated administrative and analytical abilities.Knowledge:The Audit Administrator position requires the following:

Experience with core Bank competencies (business acumen, informing, listening, peer relationships, planning, problem solving, process management, self-development, negotiating, and written communications).

Working knowledge of controls and required procedures.

Handle confidential matters with discretion and integrity.

Advanced personal computer skills using Microsoft Word, Excel, PowerPoint, and the internet.

Familiarity with SharePoint.

Communicate in writing, including attention to detail and ability to edit and proo written communications (drafted by self and others).

Good interpersonal skills with the ability to understand multiple roles and engage with executives and staff and members of the Audit Committee.

Handle interactions from a customer service perspective.

Excellent telephone communication skills and understanding of urgency on certain matters.

Other Requirements:

Motivation to learn new things to promote the effectiveness and efficiency of the department`s activities and its ability to function at a high level.

Eagerness to embrace new technology and apply learning to promote the optimization of technology on department processes and to teach others.

Willingness to work in team/collaborative environment and take direction from staff and other members of management outside of the formal reporting structure.

Must be able to apply sound judgment and critical thinking.

Exhibit sensitivity to protocol and demonstrate the appropriate profile for the Bank and department.

Ability to handle different responsibilities effectively and efficiently from multiple sources at the same time.

Proven ability to perform under pressure in a deadline driven environment.

Occasional overtime.
